Position Overview
We are seeking a highly organized, quick-thinking, and enthusiastic Events Coordinator to join our team. This role is crucial in ensuring the smooth execution of our extensive event calendar and supporting our event managers in delivering exceptional experiences.
Responsibilities
- Book and coordinate all travel arrangements for employees and speakers attending events when needed
- Pack and organize event swag, materials, and crates for all events
- Track and associate leads with the appropriate events
- Ensure timely delivery of all assets to event hosts
- Assist event managers in completing various tasks related to event planning and execution
- Potentially staff events as needed
- Be the Cvent expert for our events team
- Execute pre-event, during-event, and post-event tasks to ensure flawless execution
- Take meeting notes for all event meetings and track tasks for team members
- Support the planning and execution of 150+ trade shows, 22 Utah Jazz games, 12 field marketing events, 4 mini customer conferences, and 1 major customer user conference
Qualifications
- Bachelor’s degree in Event Management, Marketing, or related field (or equivalent experience)
- 1+ years of experience in event coordination, assistant, or project management related role
- Exceptional organizational and multitasking skills
- Strong attention to detail and ability to work under pressure
- Excellent communication and interpersonal skills
- Quick learner with a passion for the events industry and/or marketing
- Ability to manage multiple projects simultaneously
- Strong problem-solving skills and ability to think on your feet
- Excellent time management and prioritization skills
- Team player with the ability to work independently when needed
- Willingness to travel and work flexible hours as required by event schedules
- Knowledge of marketing and sales processes
- Experience with Cvent or other event and marketing technologies
- Experience with task and lead tracking systems
- Familiarity with the tech industry and B2B events
