Requirements
  • High school or equivalent
  • 1 year previous secretarial experience in senior executive setting, preferably in a healthcare facility
  • Typing 45-55 words per minute
  • Ability to operate a computer terminal, Microsoft Office software programs
  • Ability to communicate clearly, concisely and accurately with people
  • Ability to organize and manage multiple priorities with many people in a constantly changing environment
  • Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)
Responsibilities
  • Scheduling and coordination of meetings/seminars/travel; coordinating priorities throughout the day; perform independent and collaborative projects as needed
  • Typing and proofreading a variety of materials including correspondence, memos, reports, charts, grants, etc., as assigned
  • Editing copying and disseminating materials
  • Answering telephone/screen calls, taking messages or relaying information and assisting callers within scope of authority
  • Maintains Nursing Policies and Procedures; ensures routing of P&Ps to administrative and medical staff committees for approvals; ensures up to date P&Ps routed for posting on hospital Intranet; works collaboratively with Chair of Nursing Operations Council
  • Maintain Nursing Administration records/files; ensure accuracy of Daily (DSR) and bi-weekly Kronos for assigned cost centers
  • Coordinate schedule for Chief Nursing Officer; arrange meetings and appointments
  • Provide research and administrative support to special projects; prepare data and follow-up projects as directed
  • Coordinate and confirm travel arrangements including lodging, airline/automobile reservations, preparation of travel authorization forms and expense reports
  • Maintain security of information (patient medical records, hospital financial information, salary, staff and legal information) in a confidential manner
  • Process inquiries from patients, families, and general public by assessing urgency and routing or referring or notifying Administrative Representatives
  • Take minutes of meetings and events; prepare draft and final agendas; notify participants; arrange room, meals, and other event preparations
  • Perform other duties as assigned
Desired Qualifications
  • Specialized/technical training in secretarial science and word processing
  • Medical terminology preferred
