Requirements
  • A high school diploma or equivalent is required.
  • A bachelor's degree in a related field is required, with combined experience and education accepted as a substitute.
  • At least 0–1 years of experience is required, preferably in an academic institution, hospital, or medical organization.
  • Excellent working knowledge of acute care demographics, clinical data elements, statistical analysis, and data entry is required.
  • Strong attention to detail is required.
  • Excellent proficiency with personal computer software, including Microsoft Word, PowerPoint, and Excel, is required.
  • The ability to be well-organized and work independently with minimal direction is required.
  • Fire Life Safety Training from the City of Los Angeles is required; if not held upon hire, it must be obtained within 30 days and renewed before expiration.
Responsibilities
  • Provide administrative and technical support to Department of Surgery staff and faculty and make day-to-day administrative, technical, and operational decisions when needed and appropriate.
  • Establish priorities, ensure deadlines are met, and establish and maintain record-keeping systems and procedures for departmental technology.
  • Communicate candidate interviews, feedback, and conversations to recruiters and hiring managers.
  • Prepare staff for information technology training and systems.
  • Review and prioritize incoming correspondence, determine required actions, and follow through to completion.
  • Coordinate with the information technology department on system updates and new initiatives and coordinate training for new system rollouts.
  • Troubleshoot hardware and software application issues and facilitate communication among executives, direct reports, the help desk, and information technology; assess urgency and determine action.
  • Work with external vendors, system owners, community partners, contractors, and Health Sciences Campus leadership to design, develop, implement, and operationalize information systems.
  • Identify and document information technology design specifications based on user-needs analysis and assessment and generate needs-gap analyses.
  • Generate and develop system scope and objectives, analyze and evaluate existing or proposed systems, and devise or modify data-processing procedures to solve problems.
  • Plan meetings and information technology trainings hosted for the department.
  • Research and gather data from sources and databases and create SharePoint sites and other technology improvements to increase clinic and departmental operational efficiency.
  • Perform other related duties as assigned or requested.
