About the Job
As an Executive & Office Administrator, you are someone that thinks on your feet and is ready to get going quickly in our dynamic environment. You will work independently – and collaboratively, managing multiple tasks and priorities with competing priorities and deadlines. You are
someone that can screen and prioritize communications from external and internal sources – a consummate professional and you know when to ask for help and how to find it.
You are organized, innovative, knowledgeable and forward-thinking when it comes to ensuring smooth operations for the executive you support. The position requires the capacity to work successfully in a team environment while staying connected to business priorities and maintaining a comprehensive awareness of the organization. You are proactive and work with a strong sense of urgency. You take ownership, have bias for action, are customer-service oriented and can meet tight deadlines. Flexibility is key and you can switch gears seamlessly.
Roles and Responsibilities
- Enthusiastically greeting all contacts: vendors and personnel consistently, offering a warm, hospitable demeanor that is also in a manner that is positive, authentic, friendly, and helpful.
- Performing a broad range of administrative support activities on a regular basis, requiring efficiency, initiative, and judgment.
- Supporting all Executive Team in related administrative tasks, which may include effectively maintaining and coordinating calendars, scheduling meetings, arranging conference needs, travel, and handling various purchases including invoice arrangements.
- Supporting HR in coordinating company outings, team meetings, focus weeks, and other community endeavors, including travel, lodging, meals, and event coordination as needed.
- Acting as chief liaison by managing all incoming calls, email, and mail; providing information in response to requests, exercising good judgment when filtering inquiries for clinical trials and more.
- Maintaining the space for optimal working conditions and As such, this is a hybrid role with a 3 days on site per week, progressing as business needs demand.
- Supporting G&A Business Operations Manager in the development and maintenance of improvement processes; maintaining information consistency of company policy and operations across employee

Qualifications
- A minimum of 5 years senior executive level support required. Bachelor’s
- Exceptional attention to
