  • An Associate's Degree is required.
  • One to three years of related experience is required.
  • Working knowledge of legal procedures, legal documents, and bank and financial statements is required.
  • Must be or willing to become a New York State Notary Public.
  • Proficiency with Microsoft Office, Lotus Notes, Adobe Acrobat, and multifunctional printers is required.
  • Adaptability and flexibility to learn and use department databases are required.
Responsibilities
  • Review incoming documents pertaining to legacies, prepare them for signature, include required attachments, and notarize them when needed after execution by authorized personnel.
  • Correct or recreate documents received from financial institutions or Commands.
  • Make phone calls to ensure required and accurate information is submitted, and follow up with financial-institution representatives when necessary.
  • Review paper and electronic bank statements for estates and third-party trust distributions.
  • Verify that third-party trusts are entered in the Estates Database.
  • Review third-party trust bank statements in conjunction with annual fiscal year-end reports.
  • Notarize documents as required for submission.
  • Retrieve incoming mail and process outgoing mail in the absence of the Estates Specialist.
  • Obtain closed-estate information from the Document Management Department and Archives as needed.
  • Assist the Secretary, Assistant Legal Secretary, and Estates Supervisor in maintaining the flow of information within and outside the Legal Department.
