We’re looking for an Executive Assistant to support the Senior Vice President of Engineering and the Senior Vice President of Product & Chief Clinical Officer, as well as 1-3 other senior leaders. This role serves as the eyes and ears for the SVPs: coordinating and managing executive calendars, preparing and organizing important materials and plans, serving as a connector for organizations, projects, and critical business information, and ensuring meetings and materials are efficient and effective. The Executive Assistant is an essential and trusted partner to deliver against the priorities of the business.
The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate needs. The role must interact seamlessly across a broad range of internal and external individuals including members of the Executive Leadership Team, the Senior Management Team, Board of Directors, and team members that report to the SVPs. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.
What you’ll do:
- Work directly with the Senior Vice President of Engineering and the Senior Vice President of Product & Chief Clinical Officer and other assigned executives to support all aspects of their daily work routines. You will report to our Senior Vice President of Engineering.
- Manage SVPs’ calendars, schedule in-person and virtual meetings, and field calendar requests.
- Exercise discretion in committing time and evaluating needs while ensuring the SVPs and senior leaders are appropriately available and responsive to requests
- Determine priority of matters of attention for the SVPs; redirect matters to staff to handle, or handle matters personally, as appropriate.
- Proactively identify and track time-sensitive issues, follow-up on action items, update SVPs as needed.
- Partner with other Executive Assistants and colleagues to support additional leaders and executives, depending on needs and workloads.
- Use exceptional communication skills when engaging with internal and external stakeholders, including but not limited to Executives, Senior Management, Board of Directors, vendors and clients, and recruiting firms. Correspond effectively with poise and professionalism. Serve as host to external guests, as needed.
- Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
- Prepare, reconcile, and submit expense reports; maintain corporate credit card as needed.
- Discretely maintain confidential information.
- As needed/requested, attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Complete a variety of special projects including creating presentations, spreadsheets, special reports, and agenda material.
- Partner with marketing and other teams on SVPs’ speaking engagements, and manage travel (may include domestic and international) arrangements.

To be successful in this role, you’ll need:
- 5+ years of prior experience supporting C-suite executives
- Exhibit sound judgment with the ability to prioritize and make decisions
- Demonstrate creative problem solving and ability to navigate team dynamics and competing priorities; redirect or address matters as appropriate
- Agile and eager to oversee new projects from start to finish
- Comfortable working with high-level executives and board members
- An excellent collaborator capable of cultivating productive working relationships with the EA team and across the company
- Resourceful, can-do attitude
- Demonstrate flexibility to adapt to changing priorities, deadlines and team structures.
- Thrive in a fast-paced environment
- Bachelor’s degree or equivalent experience required
- Experience in a fast growing company preferred
Pay Transparency Statement
This is a hybrid position based out of our San Francisco office, with the expectation of being in office at least two weekdays per week. #LI-hybrid
The actual pay rate offered within the range will depend on factors including geographic location, qualifications, experience, and internal equity. In addition to the salary, you will be eligible for stock options and benefits like health insurance, 401k, and paid time off.
