Requirements
  • A Bachelor of Arts or Bachelor of Science degree and 3 to 5 years of experience, or an equivalent combination of education and experience, is required.
  • Demonstrate the ability to collaborate, multitask, prioritize appropriately, manage time effectively, exercise mature judgment, and communicate strongly both orally and in writing.
  • Demonstrate resourcefulness, initiative, and excellent interpersonal skills.
  • Proficiency with Microsoft Office applications, including Outlook, Word, PowerPoint, Excel, and Teams, is required.
Responsibilities
  • Provide executive-level administrative support to the Division Chief.
  • Coordinate meetings among the division’s vice chiefs and leadership team to align divisional administration with clinical priorities.
  • Generate and maintain meeting minutes in a timely manner and distribute them as necessary.
  • Obtain and transmit information as directed by the Chief to GI leadership, division faculty, and staff as deemed appropriate by the Division Chief.
  • Serve as liaison between executives, executive assistants, faculty, administrators, University of Pennsylvania stakeholders, health system staff and leadership, and external entities.
  • Act as the point person for faculty affairs inquiries and processes and serve as the Division Faculty Affairs coordinator.
  • Execute the division’s initiatives, coordinate meetings and monthly faculty meetings, arrange annual events and annual training requirements, and coordinate annual one-on-one faculty reviews as requested by the Department of Medicine.
  • Manage appointment, reappointment, and promotion processes in coordination with the Chief and Department of Medicine and Perelman School of Medicine stakeholders.
  • Compose and prepare correspondence for signature using correct grammar and format and meeting content requirements.
  • Keep the Chief’s curriculum vitae up to date.
  • Maintain divisional websites, update content as necessary, and ensure compliance with University of Pennsylvania Health System and Perelman School of Medicine standards.
  • Help coordinate annual events and the Chief’s visits to other sites.
  • Work with divisional leadership to manage and support projects from conception to successful completion.
  • Identify, document, and execute tasks and provide project status updates to key stakeholders and larger groups as needed.
  • Work closely with the division administrator to oversee the flow of the Office of the Chief and ensure the efficient operation of the Chief’s Suite.
  • Maintain supply levels, coordinate with other administrative staff, and serve as a resource for other division administrative personnel.
  • Perform additional duties as assigned.
