Responsibilities
  • For Grants Administration, shepherd grants through handoff, grantee communications, due diligence, contract generation and negotiation, signature, payment, and required reports.
  • For Grants Administration, create and maintain timely, meticulous grant records in the grants database.
  • For Grants Administration, advise the Research team on proposed and active grants and help ensure logistics requirements and grantee expectations are understood and met.
  • For Grants Administration, build and improve grant-administration systems, including Salesforce, Asana, and Ironclad, and implement automation and efficiency improvements.
  • For Grants Administration, collaborate with Research Operations, Finance, Legal, and Outreach.
  • For People Operations, support the employee lifecycle, including onboarding, offboarding, performance reviews and feedback programs, and responses to team questions or human resources tickets.
  • For People Operations, process multi-state and international payroll; administer benefits, COBRA, open enrollment, and leave management; set up new states; and handle tax compliance and annual reporting.
  • For People Operations, support international employment and global mobility, including immigration and visa application processing, international employment research, and employer-of-record management.
  • For People Operations, build and improve People Operations processes and infrastructure, including the company handbook, policies, procedures, and self-service tools.
  • For Talent Acquisition, support full-cycle recruitment by reviewing applicants, conducting screening calls, coordinating work trials and interview logistics, and supporting offers.
  • For Talent Acquisition, source candidates through LinkedIn Recruiter, job fairs, and the candidate database, including identifying passive talent.
  • For Talent Acquisition, improve recruiting systems by building documentation, reports, and standard operating procedures.
  • For Talent Acquisition, coordinate hiring-round logistics with People Operations, Communications, and Tech, including writing job descriptions and preparing onboardings.
  • For Talent Acquisition, coordinate with accounting to disburse work-trial honorariums to candidates and respond to careers-inbox inquiries.
  • For Technology, support information technology onboarding and offboarding, manage software licenses and vendor accounts, troubleshoot day-to-day technology issues, train and support staff, and lead or contribute to technology-improvement projects.
  • For AI Enablement, create and deliver guides, videos, live sessions, and interactive tools; discover AI-based tools; leverage their value for ongoing improvement; and help configure and deploy them safely and effectively.
  • For the Associate, Office of the CEO, provide scheduling, event-planning, note-taking, rolodex, expense, administrative, and project support to the CEO and Chief of Staff.
  • For the Associate, Office of the CEO, contribute to written communications, presentations, strategy documents, memos, and other key work products.
  • For the Associate, Office of the CEO, potentially support artificial-intelligence experimentation and implementation for CEO initiatives and workflows.
  • For the Chief of Staff, Office of the COO, act as a proxy and extension of the COO, build relationships across GiveWell, and support internal and external communications and community networking.
  • For the Chief of Staff, Office of the COO, manage information flow and prioritization, meeting preparation and follow-through, and occasional scheduling.
  • For the Chief of Staff, Office of the COO, own and manage cross-operations initiatives, organizational and team goals, and ongoing or ad hoc projects.
  • For more senior Chief of Staff roles, contribute to decisions about strategy, hiring, team priorities, and team structure.
  • Complete the application process, including application questions, a timed work trial, an initial Talent Acquisition screen, additional interviews and work trials, and reference checks.
  • Attend important in-person Visit Weeks in Oakland and up to two annual departmental retreats; certain roles may require occasional additional travel.
Desired Qualifications
  • Domain-specific experience or demonstrated alignment with GiveWell.
  • Experience as a generalist with strong operational skills.
  • Recent-graduate or very-early-career background is welcomed, but not required.
  • Willingness to work in person in the Oakland office one to two days per week for the Chief of Staff to the COO role.
  • Interest or aptitude in artificial-intelligence experimentation and implementation for CEO initiatives.
