Requirements
  • A high school diploma or equivalent is required.
  • Medical front-office and insurance-verification experience is preferred.

Responsibilities
  • Greet patients and visitors, answer telephone calls, and schedule appointments.
  • Check patients in and out and manage patient flow.
  • Update patient tracking in the electronic medical record.
  • Promote the patient portal to families.
  • Verify that forms are complete using online registration systems, reconcile forms as needed, and ensure sufficient documentation before patients leave the office.
  • Verify patient demographic and insurance information at each encounter and scan insurance cards and driver's licenses as needed.
  • Schedule and document appointments within operational standards, including monitoring front-desk queues and appointment reminders for scheduling and rescheduling.
  • Troubleshoot first-level insurance coverage and billing concerns and assist colleagues and Site Supervisors with escalated insurance and billing questions.
  • Review and update Vaccines for Children status accuracy within Athena electronic medical record.
  • Train and mentor new receptionists, facilitate retraining, and serve as the primary onboarding and competency trainer for new reception team members.
  • Develop and deliver training plans, assess new-employee competencies through observation and structured performance checkpoints, and collaborate with leadership to improve training materials, workflows, and onboarding processes.
  • Complete insurance verification up to three days before patient visits.
  • Collect copayments, deductibles, coinsurance, and past-due balances before patients are seen.
  • Maintain a clean and sanitized reception and waiting area.
  • Maintain patient confidentiality in compliance with HIPAA and organizational compliance standards.
  • Perform other duties as assigned.
