Requirements
  • A high school diploma or GED is required.
  • Five years of experience in front desk or reception, patient access, administrative support, and/or facilities coordination within a healthcare or similarly regulated, customer-facing environment is required.
  • Relevant education may substitute for experience as appropriate.
  • A criminal history background check is required for finalists.
  • Applicants must provide a resume/CV, three work references with contact information including at least one supervisor reference, and a letter of interest.
  • Hired employees must complete Form I-9 and present acceptable original documents proving identity and authorization to work in the United States.
Responsibilities
  • Greet patients, visitors, and vendors; direct them to appropriate destinations and provide basic routing support.
  • Manage visitor access processes, including sign-in, logs, and badges, consistent with site security and confidentiality expectations.
  • Maintain reception and lobby readiness, including cleanliness, supplies, and signage.
  • Answer and route multi-line phone calls and inquiries, take accurate messages, and respond to common questions via phone and email.
  • Communicate scheduling, arrival changes, and operational impacts to stakeholders and escalate issues appropriately.
  • Protect patient and business information and maintain confidentiality in all communications.
  • Respond to building-related inquiries, complaints, and service needs and route issues to Facilities team members as appropriate.
  • Monitor building conditions, common areas, and conference rooms for cleanliness, organization, and operational readiness.
  • Process work requests, building access requests, and Facilities inbox submissions and route them to the proper Facilities staff member.
  • Coordinate deliveries, vendors, and service providers in alignment with Facilities schedules and protocols.
  • Maintain facilities-related logs, documentation, space information, and required reports for building operations.
  • Receive and triage facility issues, submit work orders, and track progress through resolution.
  • Coordinate service visits for repairs, cleaning, security, and deliveries, and escort or support vendor access as needed.
  • Conduct basic walk-throughs of public areas and shared spaces and identify hazards or maintenance needs.
  • Maintain service documentation covering issues, follow-ups, and completion notes.
  • Receive, sort, and distribute mail, deliveries, and packages and track outgoing shipments.
  • Order and stock front-office and shared supplies and maintain inventory levels and storage organization.
  • Perform filing, scanning, copying, data entry, and other clerical tasks supporting site operations.
  • Coordinate conference rooms and shared spaces for operational use and readiness where applicable.
  • Follow site safety and security procedures, including access control, door checks, and assigned emergency-readiness steps.
  • Safeguard sensitive information and apply discretion in the healthcare environment.
  • Report incidents, hazards, and urgent facility concerns through established channels.
  • Support patient and visitor flow to reduce bottlenecks and maintain orderly operations.
Desired Qualifications
  • An associate degree or higher in business administration, healthcare administration, facilities management, or a related field is preferred.
  • Seven years of combined experience across patient access/front desk functions and facilities coordination, including work orders, vendor coordination, and safety/compliance support, in a multi-site healthcare or large operational environment is preferred.
  • Familiarity with electronic medical record/patient management systems such as Epic and facilities management tools is preferred.
  • Experience in high-volume or multi-specialty clinics is valued.
  • Facilities/workplace credentialing, such as International Facility Management Association facilities-management-related certificates, is preferred.
  • Customer service, Lean/process improvement, or similar training is preferred.
