Requirements
  • A four-year college degree or equivalent.
  • At least 2–3 years of experience in a professional office environment.
  • Ability to effectively communicate verbally and in writing.
  • Ability to understand, speak, and write English for professional communication.
  • Public communication skills for professional representation of Liberty University.
  • Strong organizational skills.
  • Excellent computer skills.
  • Ability to reason, analyze information and events, and apply judgment to solve routine and complex problems.
  • Ability to occasionally travel to local and campus locations.
  • Ability to use a personal vehicle or Liberty University vehicles when required for job duties.
  • A valid Virginia driver's license, an acceptable Department of Motor Vehicles record, and liability insurance are required when driving is required.
Responsibilities
  • Facilitate coordination and development of initiatives and projects within the Office of Spiritual Development.
  • Provide administrative and budgetary support for LU Stages by managing contracts, procurement processes, guest travel and payments, purchase orders, expense reconciliation, and departmental records.
  • Ensure compliance with university policies while maintaining accurate tracking systems and assisting leadership with budget oversight, reporting, and annual planning.
  • Facilitate compliance with Procurement, Legal, Accounting, and Human Resources requirements, including Independent Contractor Questionnaires, supplier creation, BuyLU requisitions, purchase orders, and related documentation.
  • Coordinate contract processing and payment documentation according to university policies and procedures.
  • Work with the Executive Director of Operations for the Office of Spiritual Development to submit Independent Contractor Questionnaire forms for LU Stages suppliers.
  • Obtain W-9 forms and submit New Supplier Requests in BuyLU.
  • Update supplier information in BuyLU as needed.
  • Submit Contract Request Forms for redlined or external contracts and coordinate approval and signature processes with appropriate university offices.
  • Submit requisitions and purchase orders for guests and contracted services.
  • Process invoices against standing LU Stages purchase orders throughout the year to support timely payment.
  • Follow up with Accounts Payable to help ensure payments are issued according to contract terms.
  • Oversee individual guest budgets, including honorariums, airfare, lodging, and travel reimbursements.
  • Maintain accurate guest records, contracts, travel information, receipts, and supporting documentation.
  • Ensure travel, lodging, reimbursement, and contract documentation is completed accurately and according to established deadlines.
  • Maintain organized electronic records in OneDrive and other approved departmental tracking systems.
  • Maintain records supporting departmental reporting, budgeting, and event planning.
  • Track Convocation guest expenses and keep the Travel/Honorarium spreadsheet current.
  • Participate in regular budget meetings with LU Stages and Office of Spiritual Development leadership.
  • After each event, attach required travel receipts and documentation to the applicable purchase order to process guest reimbursements.
  • Create purchase order receipts and help ensure purchase orders are reconciled and closed by the end of the fiscal year.
  • Track general LU Stages spending and maintain accurate budget records.
  • Assist the Director of LU Stages and Executive Director of Operations for the Office of Spiritual Development with annual budget planning and Anaplan submissions.
  • Reconcile monthly expense reports for LU Stages staff according to university policies.
  • Monitor departmental purchasing card usage and support compliant purchasing practices.
  • Work with the Director of LU Stages to monitor the departmental budget and appropriate allocation of expenses.
  • Assist leadership with budget oversight, reporting, projections, and annual planning.
  • Perform other duties as assigned.
  • Adhere to Liberty University policies and represent the university in an exemplary manner.
  • Work effectively as a team member while supporting Liberty University’s Christian model and mission.
  • Occasionally facilitate events outdoors.
  • Regularly perform deskwork and keyboard tasks, hear and speak for oral communication, stand, walk, and climb stairs on campus, handle materials, reach overhead, kneel or stoop, and lift 10 pounds or less.
Desired Qualifications
  • A master's degree.
  • Experience working in higher education.
  • Proficiency in Microsoft Excel for departmental budgeting and tracking.
  • Data experience in Banner, Assist, BuyLU, and Emburse Expense Management.
