Requirements
  • A bachelor's degree in the school's or program's area of specialty or a related field and one year of experience in student admissions, registration, financial aid or a related field, or an equivalent combination of education, training and experience.
  • Previous experience with various personal computer software applications.
  • Ability to lift and transport materials and supplies weighing up to 15 pounds for program events and activities.
  • Proficiency with Adobe and Microsoft Outlook, Excel, Word, PowerPoint, and SharePoint.
  • Strong organizational and time management skills with the ability to manage multiple tasks and priorities.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively.
  • Experience working in higher education or with an academic program.
  • Experience with experiential learning programs.
  • Experience working with diverse student populations, including international students.
  • Ability to adapt to a constantly changing environment.
Responsibilities
  • Assist in coordinating student academic functions for the school or program, including admissions, financial aid, registration, or student placement.
  • Assist and advise students.
  • Maintain budget records and assist in budget administration as needed.
  • Prepare communication materials about the school or program.
  • Participate in committees pertaining to academic services.
  • Maintain and update student records in an organized filing system and compile reports from those records.
  • Develop resources for students to address particular needs as needed.
  • Supervise clerical personnel as needed.
  • Support curriculum management by submitting each semester's class schedule to the Office of the Registrar, monitoring and updating system listings, fielding student questions, and ensuring timely completion of course evaluations.
  • Research options and advocate for program classroom and computer lab needs, facilitate classroom assignments, and provide classroom supplies and materials.
  • Support management of students' course preferences and enrollments, including drop/add, course withdrawals, and course audits.
  • Monitor academic progress and compliance with competency, certificate, and graduation requirements, collecting and compiling necessary documentation.
  • Communicate with instructors about class schedules, rosters, grade-posting deadlines, and instructional technology access.
  • Serve as the MDP liaison for the ARCHE cross-registration process.
  • Inform students about jobs, internship opportunities, and professional development resources.
  • Support the U.S.-based summer field practicum by communicating with students and contributing to preparation sessions and materials.
  • Maintain accurate and updated records of student internship placements, including credit requirements, scope of work, deliverables, and supervisor evaluations, and prepare relevant reports.
  • Maintain records of students' deliverables, timesheets, supervisor evaluations, and practicum.
  • Coordinate and facilitate staff meetings and retreats, document action items, and follow up on assignments.
  • Analyze evaluation processes for orientation, courses, mentorship, and internships; synthesize and communicate feedback to the team to support improvement and innovation.
  • Maintain and update the database of MDP alumni employment and contact information.
  • Align team actions with calendars, milestones, and virtual workspaces.
  • Assist with program events, workshops, presentations, and visitor coordination.
  • Assist in maintaining the mentorship program.
  • Direct students to appropriate university resources, including academic support, professional development, and student well-being services.
  • Provide ongoing academic advising throughout the academic year, including guidance on program requirements, course sequencing, and progress toward degree completion.
  • Assess individual and cohort-level student needs and develop a repository of program and researched local community-based resources to support student well-being and success.
  • Assist in onboarding new cohorts by gathering student data and supporting orientation activities.
  • Oversee admission events and student campus visits as needed.
  • Represent the program at academic and career fairs and outreach events to promote the program, engage prospective students, and provide admissions and program information.
  • Assist with updating and distributing recruitment and promotion materials, including program presentations, email communications, and informational resources.
  • Perform related responsibilities as required.
