Requirements
  • A high school diploma or equivalent and 2 years of relevant experience are required, or an equivalent combination of education and experience.
  • Demonstrated customer relations skills are required.
Responsibilities
  • Oversee data and ensure compliance with enterprise standards and referral and prior authorization guidelines.
  • Communicate with patients, families, clinical staff, and non-clinical staff to identify barriers to appointment compliance and insurance company barriers, and track assistance provided.
  • Plan, execute, appeal, and follow through on referral and prior authorization processes affecting patient scheduling, treatment, care, and follow-up.
  • Manage department referrals as liaison, appointment coordinator, and patient advocate between referring offices, specialists, and patients.
  • Conduct data analyses to track patient compliance with specialty services, monitor work queues, reconcile discrepancies, and answer departmental questions.
  • Escalate case management when medical assessment is needed and prioritize referral requests using medical protocols, expediting urgent requests.
  • Coordinate team and patient meetings as needed or requested.
  • Acquire insurance authorization for visits and applicable testing, attach missing referral records, and document referral and authorization communications in the electronic health record.
  • Perform needs assessments using electronic medical record information to schedule appropriate appointments and procedures with the appropriate provider, while verifying patient demographics and insurance information according to record-management protocols.
  • Perform complex appointment scheduling, link referrals and ancillary services, and provide patients with appointment, provider, location, and educational information.
  • Provide patient-compliance data and strategies to the team, oversee provider templates, and report obstacles to timely scheduling to the manager.
  • Ensure ancillary testing and specialty referrals are completed and results are received and acted upon; investigate, troubleshoot, and resolve failures to receive information.
  • Prepare complex information for insurance or workers' compensation carriers to obtain prior authorizations, communicate medical information, and coordinate peer-to-peer reviews for denied services.
  • Apply medical knowledge, terminology, specialty-office experience, International Classification of Diseases and Current Procedural Terminology knowledge, insurer policies, and prior authorization protocols to prepare requests.
  • Resolve insurance-company obstacles and determine relevant information for denied authorization submissions.
  • Collaborate with providers to draft and finalize letters of medical necessity and track renewals and approvals before patient arrival.
  • Manage orders for patients seen in the emergency department or urgent care, recognize urgent clinical situations, review complex referrals, schedule patients with appropriate providers, and establish care plans with clinical staff.
  • Process outgoing referrals, discuss outside-care options with patients, meet Meaningful Use requirements, and transfer summaries of care electronically through Epic or by facsimile or mail.
  • Process incoming external referrals, enter them into the electronic health record according to approved protocols, coordinate ancillary testing, and obtain outside records.
  • Perform other duties as assigned.
