HCVT is seeking an experienced Human Resources (HR) professional with a strong background in HR compliance, HRIS/HR software systems, and benefits administration. This position will delegate and review projects/tasks assigned to the HR Specialist and therefore, some supervisory experience is preferred.
This position is hybrid with 2-3 days in the office per week.
Compliance responsibilities will include, but not be limited to, the following:
- Respond to inquiries related to compliance (such as labor law, payroll/tax set-up within HRIS, annual compliance forms, firm policies as outlined in Employee Handbook etc.)
- Review and submit compliance related reporting (such as EDD/State pay audits, DFEH and EEO data requests, Occupational State Surveys, 1095s, etc.)
- Review and respond to external requests such as subpoenas, withholding orders, unemployment claims, verifications of employment, etc.
- Supervise annual update and review of policy/legislative changes to Employee Handbooks
- Supervise firm’s injury/workers’ compensation process
- Supervise leave of absence process
- Oversee mandatory HR training compliance (HIPAA, Harassment Prevention, etc.)
- Maintain compliance for posted labor law notices (physical and electronic) distribution
- Serve as primary coordinator with international entities; and monitor immigration cases
- Work closely with HR management to conduct employee investigations, gather data and document for employee records.
- Work closely with payroll, documenting changes to HRIS, employee status, etc. each pay period
- Identify potential issues requiring input from labor law attorney, working closely with HR management
HRIS/HR Software Systems responsibilities will include, but not limited to, the following:
- Supervise optimal function of HRIS platform performance and data flow to/from HRIS
- Oversee execution of administrative tasks and audit accuracy of employee data as needed
- Collaborate with HR Management to identify system improvements and enhancements; recommend and implement solutions.
Retirement & Employee Welfare Plans Administration responsibilities will include, but not limited to, the following:
- Monitor legislative changes and plan rules to ensure compliance for all plans
- Oversee benefits administration (enrollment, claims reconciliation, plan audit and testing, employee/employer contributions, coordination with internal finance, and broker/vendor inquiries, etc.)
- Oversee firm’s COBRA administration and ACA compliance related processes and reporting
- Review plan invoices for accuracy and anomalies related to recent benefits changes
- Coordinate with Payroll and HR Specialist as needed for annual compliance forms and reporting
Personnel & General HR responsibilities will include, but not limited to, the following:
- Oversee HR Specialist workflow (including delegation and review of projects/tasks), and offer guidance on ongoing projects and assignments
- Research and resolve issues/inquiries of assigned HR Service Desk tickets
- Attend relevant compliance related training and webinars; responsibility of keeping HR team informed
- Additional tasks assigned by Human Resources Department, as needed
Listed below are the qualifications we are looking for:
- Minimum of 3-4 years of human resources professional experience
- HRIS experience required (ADP Workforce Now and ADP Tax Compliance strongly preferred)
- Ability to exercise discretion and demonstrate integrity when working with confidential information
- Advanced Microsoft Office and Adobe Acrobat skills
- Excellent verbal and written communication skills
- Exceptional organizational skills managing multiple projects at a time with attention to detail and accuracy
- Professional demeanor and ability to interface effectively with all levels of the organization
This salary range is specific to the state(s) listed and takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill set and education; experience and training; licensure and certifications; and other business and organizational needs. A reasonable estimate of the range for this position is $80,000 to $90,000.
