Requirements
  • An Associate's Degree in Business Management or a related field is required, with 1-2 years of relevant experience.
  • Experience managing budgets, including accounts payable and general maintenance, is required.
  • Demonstrated experience working with confidential information such as HIPAA or FERPA information is required.
  • The ability to coordinate multiple projects and personnel is required.
  • General knowledge of higher education administration and structure is required.
  • Thorough knowledge of G-Suite, including Docs and Sheets, and Microsoft Office is required.
  • Strong written and oral communication skills are required.
  • Exceptional interpersonal, organizational, and analytical skills are required.
  • The ability to conduct oneself in a highly professional and ethical manner is required.
  • Willingness to work evening hours from 5:30 p.m. to 9:30 p.m. and select weekends as needed is required.
Responsibilities
  • Provide administrative support for the Manresa seminars offered each semester.
  • Provide direct support to faculty and staff mentors through meeting coordination and general problem-solving.
  • Maintain and update seminar information and materials.
  • Produce group materials needed for each seminar and program.
  • Coordinate facilities and catering for seminars and workshops.
  • Coordinate service opportunities with community partners.
  • Monitor and track student progress throughout the semester.
  • Maintain and update the database of student participant data.
  • Coordinate program promotion through print and digital media.
  • Attend weekly meetings with professional staff.
  • Ensure compliance with college and departmental policies regarding computer usage and personal information.
  • Compile assessment data for later analysis.
  • Process invoices and facilitate payments with Accounts Payable.
  • Monitor expenses and provide budget updates to the co-directors.
  • Assist in preparing yearly budget reports for grant funders, as applicable.
  • Process stipends for students, mentors, faculty, and staff, as well as honoraria.
  • Provide administrative support for Manresa programs outside the seminar series, including Purposeful Advising, the Regional Conference, Vocational Companions, the Manresa Reading Group, visiting speakers and scholars, and Career Treks.
  • Schedule rooms and reserve facilities for faculty development seminars, workshops, and retreats.
  • Assist in compiling assessment materials for Manresa-related programs.
  • Monitor grant expenditures.
  • Assist in producing interim budget reports for continued grant funding.
  • Assist in creating final budget reports for funders.
  • Coordinate on-site logistics for visiting speakers and other events.
  • Secure transportation and lodging as needed.
  • Prepare students for off-site Career Trek experiences.
  • Create and monitor application materials for Career Treks.
  • Travel with a co-director to assist in program implementation when needed.
  • Collaborate with Alumni Relations staff to plan an alumni event in each city.
  • Coordinate with alumni volunteers to finalize hosting details.
  • Ensure assessment measures are implemented and compiled.
  • Assist staff in Career Advising and Development as needed.
  • Demonstrate and role-model the college's mission-based competencies in interactions with community members and external parties.
  • Strengthen digital literacy through education and application of digital technologies for information gathering, utilization, and data management while promoting a security culture.
  • Treat all individuals with dignity, professionalism, and kindness.
  • Align professional goals, objectives, and performance with the college's strategic goals.
  • Attend and actively participate in required meetings and training sessions.
  • Comply with established policies, procedures, codes of conduct, and health and safety requirements.
  • Complete all required federal, state, institutional, and departmental training.
  • Engage in a planned program of professional development and maintain skills and knowledge relevant to the position and technology industry.
  • Perform related duties as assigned.
