This is a maternity cover 12-month fixed term contract starting May 2024 with a minimum 3 days in-office attendance required.
Kobalt is looking to hire a highly organised, self-driven and detail-oriented Executive Assistant to provide logistical support and office coordination for the CFO & SVP, Corporate Finance in our London office, managing the responsibilities of the facilities team including contractor management, office maintenance as well as streamlining internal and external office events.
The successful candidate will have previous extensive C-level support experience in a fast-paced, ever-evolving environment as well as a track record of managing ever-changing schedules, conflicting priorities and planning international travel.
As a natural extension of the supported executives in their day-to-day business needs, you will need to be an excellent communicator and able to build a trustworthy relationship among internal teams as well as a ‘roll up your sleeves’ attitude to getting the job done.
WHAT DOES AN EXECUTIVE ASSISTANT AT KOBALT DO?
- You provide extensive calendar management and meeting coordination (across time zones) and ensure smooth communication among internal teams acting as the conduit for communication between internal departments, in particular Finance and Facilities as well as external contacts, demonstrating leadership, and an ability to maintain credibility, trust and support with senior management.
Meeting coordination:
- You will coordinate logistics for meetings, seminars, workshops, special projects, and events.
- You help organise staff meetings, maintaining staff calendars and organisation of various team events.
Travel arrangements:
- You will plan and manage extensive domestic and global travel arrangements for executive and assigned staff.
Other administrative duties:
- You monitor emails and respond as well as flag appropriately.
- You manage board documentation and creation of board packs alongside scheduling and planning including chasing on materials so that packs are created in a timely manner.
- You may be asked to compile special reports and presentations as well as take notes and distribute agendas and minutes.
- You process expense reports in a timely fashion, raising invoices and seeking approvals etc.
- On occasion, provide ad-hoc personal support for the CFO.
Facilities and Office Management:
- You help oversee office management and maintenance in alignment with the facilities team to ensure seamless office functionality.
- You support the management of facilities budget including internal events, contractors, ad hoc expenditure, H&S etc.
WHAT SKILLS AND EXPERIENCE ARE WE LOOKING FOR?
- You ideally have a minimum of 5 years of C-level support experience in a fast-paced, ever-evolving environment, working with key stakeholders across multiple time zones.
- You have prior experience coordinating international travel and planning across multiple time zones as well as ability to take initiative, manage an ever-changing schedule and anticipate needs without direction.
- You are not afraid to ask questions yet can remain autonomous and a self-starter.
- You have strong interpersonal skills and can build relationships throughout an organisation as well as with external stakeholders.
- You have strong attention to detail with exceptional follow up and organisation as well as a high level of comfortability using Microsoft Office Suite & Google Suite.
