Requirements
  • Vocational training, an apprenticeship, or equivalent experience in a related field.
  • At least 7 years of work experience in a related job discipline.
  • Knowledge of project management concepts and best practices, including resource allocation, budget management, schedule management, and communicating project updates to leadership.
  • Ability to operate in a complex administrative environment with limited oversight.
  • Ability to manage competing priorities, work simultaneously on multiple initiatives, and meet deadlines.
  • Ability to handle confidential and sensitive materials and situations.
  • Strong verbal and writing skills, with the ability to communicate clearly and effectively.
  • Proficiency in Microsoft Office.
  • Strong analytical and organizational skills.
  • Ability to interact comfortably with physicians, nurses, senior executives, faculty, and staff in a diverse academic healthcare environment.
  • Ability to develop collaborative relationships throughout the organization.
  • Familiarity working in an academic medical center environment.
Responsibilities
  • Provide daily administrative support to clinical and program leaders within the assigned sections.
  • Provide administrative assistance for project plans, meeting scheduling, resource coordination, and planning and execution of deliverables for standing meetings, lectures, and projects.
  • Track key deliverables, help drive their completion, and follow up on outstanding items.
  • Provide and manage administrative, expense, and logistical support, including project schedules, calendar management, room reservations, expense management, travel logistics, and faculty and staff recruitment efforts.
  • Prepare, set up, execute, and follow up on meetings, interviews, functions, and projects.
  • Organize and manage meetings and other section initiatives.
  • Enhance and continually refine the onboarding process for new faculty, staff, and trainees, and provide hands-on onboarding assistance.
  • Oversee Medical Staff Office credentialing, re-credentialing, licensure, and certification processes for faculty, academic personnel, and Advanced Practice Providers.
  • Provide confidential, high-level administrative support for a leader and keep the leader informed about relevant University programs, initiatives, and issues.
  • Coordinate information flow from the leader's office to the University and potentially staff Board of Directors meetings.
  • Initiate correspondence and other written materials under the assistant's or leader's signature.
  • Triage emails and telephone calls, resolve routine and complex inquiries, and potentially act as liaison to the Board of Directors.
  • Coordinate special projects as directed by the leader.
  • Prepare recommendations for operational and administrative problems.
  • Potentially manage a portion of the leader's budget by monitoring and reconciling accounts.
  • Prepare financial and administrative reports.
  • Prepare special reports and summaries, assist in managing daily office operations, and potentially assist in developing administrative goals and policies.
  • Maintain the leader's calendar, exercising discretion and judgment regarding priorities and effective use of the leader's time.
  • Perform other related work as needed.
Desired Qualifications
  • A Bachelor's degree.
  • Previous experience in progressively responsible administrative support roles within an academic healthcare setting.
  • Experience leading at least one sizable, complex project, preferably serving multiple or competing constituencies.
