Requirements
  • A Bachelor's degree in communication, business administration, human resources, or another related field and 3 years leading customer service initiatives are required, or an equivalent combination of education and experience.
  • The ability to communicate effectively and navigate interactions where barriers to communication are present is required.
  • The ability to handle highly stressful and emotional situations professionally and respectfully is required.
  • The ability to work in a team environment with a wide variety of employees is required.
  • The ability to handle multiple projects and direct a large volume of visitor interactions under pressure is required.
  • Computer skills in Word, Access, and Excel are required.
Responsibilities
  • Oversee operations and systems for the Communication Centers at Strong Memorial Hospital and Highland Hospital, including communication services in ambulatory practices.
  • Set policies and procedures and develop appropriate staff schedules in partnership with communication center leaders to meet hospital expectations.
  • Monitor and ensure that both Communication Centers function in an accurate, efficient, and customer-focused manner.
  • Oversee and guide operations and personnel-related matters, including training, compliance, and performance evaluations, in partnership with communication center leaders, supervisors, and hospital administration.
  • Direct daily operations and maintain responsibility for phone, cellular, paging, and Wi-Fi systems at Highland Hospital.
  • Provide direct oversight to supervisors and communication center operators, ensuring proper coverage 24 hours a day, 7 days a week.
  • Manage operations to ensure adherence to service-level standards and company policies and procedures.
  • Collaborate with interdepartmental leadership to resolve questions or concerns and resolve high-level, escalated issues.
  • Communicate and collaborate with internal and external customers to ensure an integrated service approach.
  • Alert the appropriate leader or designee of disruptions in automated activities or systems that impact service or department operations.
  • Ensure phones, computers, printers, and other departmental systems function properly and that required tests, maintenance, and business continuity plans are completed and communicated.
  • Maintain operational equipment and employee educational tools, troubleshoot departmental concerns, and resolve non-routine paging issues that may impact patient care or customer service.
  • Review and authorize payroll and program budgets.
  • Respond to customer inquiries for customized requests.
  • Participate in emergency and disaster training, protocols, and procedures.
  • Maintain contract service relationships and monitor contract expectations.
  • Review, approve, and coordinate time-off requests and evaluate coverage to meet service-level standards.
  • Maintain knowledge of University and Highland Hospital policies and procedures, including state and federal mandates and employment-related policies such as FMLA and ADA.
  • Manage employee performance using performance management tools, maintain accurate performance documentation, and write and deliver annual performance reviews for direct reports.
  • Ensure staff compliance with mandatory hospital requirements and authorize or request staff access for required operational systems.
  • Provide resources and coaching to staff to deliver high levels of customer service.
  • Create and execute programs and activities for employee recognition, process improvement, and morale.
  • Provide guidance and development support for supervisors.
  • Identify opportunities for improvement, propose solutions, and implement changes to resolve operational issues.
  • Oversee and implement short- and long-term service improvement strategies.
  • Create opportunities for team growth and employee development.
  • Attend meetings as a subject matter expert on projects and teams related to Communication Center operations.
  • Maintain operational knowledge to balance departmental priorities with team and individual needs across service locations.
  • Communicate operational, procedural, and policy changes to staff.
  • Manage projects related to process improvement within departments.
  • Participate in interviews for prospective Communication Center staff and make final hiring decisions in partnership with leaders.
  • Ensure team members receive appropriate training and support, and equip team trainers with the skills, knowledge, and direction to train.
