Requirements
  • Clerical experience, including one year of experience at either the Administrative Assistant or Administrative Associate level with a Bachelor's degree, or with a High School Diploma or GED.
  • Business casual attire is required.
  • The role requires manual dexterity, repetitive keyboard use at a workstation, and the ability to lift, push, pull, or stand.
  • Three work references with contact information are required, including at least one reference from a supervisor.
  • A criminal history background check is required for finalists.
  • Employees must complete the federal Employment Eligibility Verification I-9 form and present acceptable original documents proving identity and authorization to work in the United States.
Responsibilities
  • Support executive operations.
  • Manage general office operations, including printer and paper stock and office-supplies ordering through UT Market and Today's Business Solutions.
  • Coordinate custodial, heating, ventilation and air conditioning, printer, and technology issues.
  • Coordinate event and guest logistics, including parking passes, gifting and wrapping, and shipping through eShipGlobal.
  • Manage facilities and audiovisual tasks, including daily power on/off, entrance signage, marquee, sound machines, and conference rooms.
  • Coordinate technology vendors and services, including coffee and snack ordering, water-cooler service, and golf-cart checkout.
  • Submit purchase, purchase-order, contract, and payment requests through the UEE Finance Dashboard.
  • Reconcile receipts through DocuSign and maintain event and project folders.
  • Order uniforms and monogrammed shirts for staff.
  • Add events to the Outlook calendar.
  • Work Monday through Friday from 8 a.m. to 5 p.m., with additional hours as needed to meet deadlines and support event work.
Desired Qualifications
  • Experience initiating projects in Adobe Workfront.
