Requirements
  • A 2-year post-secondary diploma in office administration-health services from an accredited institution.
  • A medical terminology certificate.
  • At least 3 years of experience providing administrative support in a fast-paced hospital program setting.
  • Demonstrated commitment to the values of service, responsible stewardship, community responsiveness, and respect.
  • Intermediate proficiency in Microsoft Excel and Microsoft Word.
  • Previous experience working with staffing scheduling systems.
  • Accurate keyboarding skills with a minimum typing speed of 45 words per minute.
  • Ability to communicate effectively and tactfully in person and by telephone.
  • Ability to maintain effective interpersonal relationships while handling multiple tasks, frequent interruptions, and stressful situations.
  • Strong organizational skills, with the ability to set priorities and work with minimal supervision.
Responsibilities
  • Maintain confidentiality and release information in accordance with hospital policy.
  • Review and commit to applicable departmental and hospital policies, procedures, and union collective agreements.
  • Maintain effective internal and external communications through the sharing and timely dissemination of information.
  • Contribute regularly to continuous quality improvement initiatives.
  • Update schedules daily for centralized staffing needs, including calling out to fill open shifts.
  • Support the Centralized Staffing and Scheduling Office, Corporate Operations Supervisor, and Manager by handling incoming mail, faxes, photocopying, emails, typing correspondence, and maintaining an accurate filing system.
  • Use appropriate computer applications to maintain data and compile statistics for auditing and reporting on central staffing activities.
  • Maintain current departmental lists, program documents, call-in sheets, assignment sheets, staff education manuals, and the status of pre-graduate licenses and recertifications.
  • Assist with non-clerical office support.
  • Assist with other unit activities as assigned by the Manager.
