Requirements
  • A Business Administration Diploma or an acceptable combination of education and experience is required.
  • Strong written and verbal communication skills are required to communicate with all levels of the organization and its executive team.
  • Strong knowledge of general office procedures is required.
  • The ability to compose draft correspondence, including memos and letters, is required.
  • Proficiency in Microsoft Excel and Microsoft Office is required.
  • Superior telephone manners and strong interpersonal skills are required.
  • Attention to detail and excellent organizational skills are required.
Responsibilities
  • Respond to telephone, email, and in-person inquiries from clients, business partners, employees, and other parties.
  • Refer inquiries to the appropriate individuals, divisions, or departments across the organization.
  • Provide support to the accounts payable/accounts receivable department, Payroll department, Controller, and Director of Operations as required.
  • Review after-hours answering service messages each morning, then document, file, and relay them to the appropriate individual when required.
  • Maintain a call log for incoming calls, emails, and in-person inquiries.
  • Type forms, letters, reports, and memos as necessary.
  • Assist in compiling data for various reports.
  • Arrange and book meetings in boardrooms, off-site conference halls, and other locations, ensuring that appropriate meals and equipment are in place.
  • Book hotels for staff and issue purchase orders or provide purchase order or credit card information as required.
  • Arrange and attend management and safety meetings as required, and take, distribute, and archive meeting minutes.
  • Present a positive and professional image of the organization as the first point of contact for visitors, suppliers, inquiries, and other interactions.
  • Ensure appropriate evacuation procedures are in place and carried out during emergencies.
  • Observe and report security issues.
  • Administer and manage inbound and outbound mail, including priority post, packages, courier services, and other correspondence.
  • Manage and maintain office supply stocks and orders.
  • Maintain adequate quantities of standard hardcopy forms, including timecards, CWS, S&I sheets, and safety forms, and reorder them as necessary.
  • Maintain reception, kitchen, and other general areas in a tidy and presentable condition.
  • Perform other assigned duties.
