Responsibilities
  • Process incoming supplier credit memos and refund checks while monitoring and working with suppliers to resolve outstanding credits.
  • Process supplier invoices by verifying invoice accuracy, entering data into the Oracle accounts payable system, ensuring timely supplier payment, following prescribed accounts payable procedures, verifying and updating payee name and address information, adding supplier sites to the supplier table as necessary, and ensuring proper discount terms are applied.
  • Respond to external supplier and campus requests relating to invoice payments, including regularly monitoring the Oracle Holds report.
  • Review supplier statements to ensure recorded amounts agree with information in the Oracle accounts payable system.
  • Forward appropriate Tartan Trust Card data to departments as necessary.
  • Perform data entry, research and payment of supplier invoices, process credit memos and supplier checks, and research supplier statements.
  • Research and resolve payable issues with campus and external university representatives.
  • Answer telephones and respond to customer service requests.
  • Back up other department staff when needed.
  • Handle other general accounting responsibilities as assigned.
  • Attend departmental staff meetings or group functions and provide backup support to other staff as necessary.
  • Complete assigned tasks outside normal working hours on an ad hoc basis and work overtime during peak processing periods when required.
