Requirements
  • A high school diploma and two years of experience appropriate to the area of assignment or field, or an equivalent combination of experience and training providing comparable knowledge, skills, and abilities.
  • Ability to work independently, maintain confidentiality, use sound judgment, and demonstrate attention to detail and communication skills.
  • Ability to perform the required physical activities, including extended sitting, standing, and walking; computer use; bending, stooping, reaching, lifting, and pushing objects weighing up to 25 pounds.
  • Successful completion of the required pre-employment criminal background check and fingerprint check.
Responsibilities
  • Answer phones, greet visitors, and direct questions to appropriate offices for resolution.
  • Open and close the office; support building-access approval processes; coordinate building and equipment maintenance requests and parking validations.
  • Order and inventory supplies, promotional items, and equipment according to department guidelines.
  • Maintain a Purchasing Card, initiate purchases, and complete reconciliation and verification.
  • Receive and send shipments and deliveries using FedEx, UPS, and interoffice mail.
  • Compose correspondence, interpret and explain university and unit policies and procedures, and summarize reports and information for administrative staff review.
  • Provide administrative support to Graduate Programs leadership by maintaining calendars, scheduling appointments, maintaining record-keeping systems, and developing and maintaining databases and spreadsheets.
  • Arrange travel reservations and itineraries and prepare required support materials.
  • Maintain and update databases and spreadsheets, pull reports using PeopleSoft and other systems, and prepare specialized or recurring reports containing sensitive information.
  • Produce meeting agendas, coordinate meeting locations and invitations, and produce and distribute minutes for assigned events and meetings.
  • Support staff onboarding by preparing workspaces, ordering business cards and name badges, and assisting with new employee resources.
  • Maintain records for office coordination activities, including moves, signage, phones, and keys.
  • Provide administrative support for general operations, including grade entry, locker assignments, grading completion reports, purchases, and disbursement forms.
  • Manage incoming email for the department.
  • Perform other assigned administrative duties.
Desired Qualifications
  • Experience working in a higher education or university environment.
  • Experience establishing, developing, and maintaining working relationships within a large office environment.
  • Experience with productivity software including Microsoft Office, Dropbox, Google Drive, and Slack.
  • Effective verbal and written communication skills.
  • Strong organizational skills and the ability to manage multiple projects.
  • Experience assisting leadership with administrative tasks such as calendar management, travel arrangements, scheduling, and communication.
