Requirements
  • The candidate must have 2–3 years of experience as a Medical Assistant or in a similar healthcare support role, preferably in a specialty practice setting.
  • The candidate must have strong working knowledge of front-desk and back-office operations, including referral intake, fax management, scheduling, and electronic medical record documentation.
  • The candidate must be proficient in electronic health record systems; familiarity with NextGen, AthenaOne/Athena Practice, ModMed, or similar platforms is advantageous.
  • The candidate must be able to create clear workflow documentation and process maps that others can follow.
  • The candidate must be comfortable working alongside artificial intelligence tools and business process outsourcing support teams, including quality-assuring outputs and identifying issues.
  • The candidate must have strong communication and interpersonal abilities to build trust with clinic staff and navigate change-management discussions.
  • The candidate must be highly organized and detail-oriented while managing multiple accounts in parallel.
  • The candidate must be self-directed, have a strong work ethic, and be willing to travel to clinic sites across the country.
Responsibilities
  • Build and own clinic-specific workflow documentation for assigned accounts, including front-desk intake processes, referral-handling protocols, fax-routing logic, and staff escalation paths.
  • Keep documentation current as workflows evolve after go-live by versioning it, flagging changes, and ensuring the Implementation Workflow Workbook reflects actual workflows across assigned practices.
  • Translate verbal clinic knowledge into auditable process maps that support onboarding, business process outsourcing agent training, and product configuration.
  • Serve as the operational layer during active implementations by partnering with the Partner Integration team, completing go-live readiness checklists, coordinating electronic medical record access and staff training, and surfacing blockers.
  • Support go-live sign-off by confirming that clinic workflows are documented, staff are trained, and practices are operationally ready for Emma AI Calls, Documents & Fax AI, and/or ACR.
  • Act as the clinic-facing point of contact during the transition period and translate between Basata’s tools and the workflow changes required of clinic staff.
  • Own the day-to-day operational health of assigned clinic accounts after go-live by monitoring workflow drift, identifying edge cases the artificial intelligence does not handle correctly, and flagging escalation-worthy issues.
  • Conduct regular touchpoints with clinic staff to assess workflow adherence, identify friction points, and gather feedback for product and process improvement.
  • Support the Growth Partner team with account-level operational context for reviews, expansion conversations, and escalation paths.
  • Serve as the primary liaison between assigned clinics and the business process outsourcing agent team, ensuring agents have the protocols, scripts, and escalation instructions needed for accurate operations.
  • Monitor business process outsourcing work product by reviewing queue outputs, flagging accuracy issues, and working with Operations leadership to address quality gaps.
  • Onboard business process outsourcing agents to new accounts by covering system access, electronic medical record environments, and clinic-specific protocols, and maintain repeatable onboarding documentation.
