Requirements
  • Bachelor’s degree in accounting, business or healthcare profession
  • At least five years of business office and clinic management experience in an outpatient medical or health care setting or equivalent combination of education and experience
  • Valid driver's license with a motor vehicle record (MVR) compliant with the University Vehicle Use Policy
Responsibilities
  • Ensure appropriate fiscal management of clinic operations, including financial reporting, A/R, A/P, billing and collections
  • Hire and oversee supervision of front desk, billing, lab, nursing and case management staff. Approve time off requests for supervised staff. Conduct annual department manager performance evaluations
  • Ensure completion of annual patient satisfaction and annual staff satisfaction surveys, with a commitment to work with officers and department heads to make changes per results
  • Under the direction of the COO, participate in the development and implementation of EHCW policies and procedures
  • Overall operation and general management of the clinic including human resource management
  • Develop and implement policies and procedures
  • In coordination with the Revenue Cycle team and leadership, review monthly reports/dashboards for COO, including AR, No Show, Cycle Time, staffing (turnover, vacancies), revenue by payor source, and RVU reports as assigned in preparation for monthly meeting with the C-suite
  • Meet monthly with COO to discuss organizational stability: staffing needs, billing efficiency/reports, provider productivity, employee concerns, HR issues, budget
  • Coordinate clinic schedules of support staff and work with the CMO when they determine changes to provider schedules, with the goal of helping providers meet productivity goals and open access scheduling as defined by PCMH
  • Oversee Emergency Management Plan development and training
  • Conduct weekly meetings with department heads to discuss operations, workflows, staff needs
  • Prepare and maintain employee improvement documentation as warranted by employee productivity and behavior
  • Under the direction of the CFO, implement policies and procedures for cash and credit card deposits
  • Participate in the achievement of performance management goals and initiatives
  • Develop job descriptions for staff as needed
  • Responsible for direct supervision of employees within several departments, including the pharmacy, lab, x-ray, nursing, billing, medical records, facility, front office and case management. Will need to hire/terminate, provide training, schedule work assignments, assist making recommendations, salary adjustments, discipline/work improvement, and performance evaluations
