Requirements
  • 3-5 years of experience in bid/proposal coordination, preferably in a consultancy or public sector environment.
  • Strong understanding of public procurement processes; experience with EU institutions is highly desirable.
  • Excellent organisational and time management skills, with the ability to manage multiple deadlines.
  • Strong attention to detail and commitment to quality.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Teams); experience with SharePoint or CRM systems is a plus.
  • Strong written and verbal communication skills in English; additional European languages (e.g., French or Spanish) are an asset.
  • Ability to work independently and collaboratively in a fast-paced, deadline-driven environment.
Responsibilities
  • Coordinate the end-to-end bid process, including scheduling, document management, and stakeholder communication.
  • Review tender documentation to extract key requirements, deadlines, and evaluation criteria.
  • Support the development of proposal content by liaising with technical teams, partners, and subcontractors.
  • Manage internal workflows and ensure timely contributions from all stakeholders.
  • Format and compile proposal documents in line with client specifications and branding guidelines.
  • Maintain bid trackers, content libraries, and templates to support efficient proposal development.
  • Assist in organising and documenting bid reviews (e.g., Pink, Red, Gold Team reviews).
  • Ensure compliance with internal processes and external procurement requirements.
  • Contribute to lessons learned and continuous improvement initiatives.
Desired Qualifications
  • Experience with EU institutions is highly desirable.
  • Additional European languages (e.g., French or Spanish) are an asset.
