Requirements
  • A high school diploma or equivalent is required.
  • Previous customer service experience is required.
  • Working knowledge of Microsoft Word, Excel, Outlook, and web-based systems is required.
  • Knowledge of general office procedures and practices is required.
  • Ability to learn position-related software applications is required.
  • Ability to keep records, assemble and organize data, and prepare and submit reports in acceptable formats is required.
  • Ability to bend, crouch, or stoop is required.
  • Ability to carry or lift loads up to 49 pounds is required.
  • Ability to sit for four hours or more is required.
  • Ability to use computers extensively for four hours or more is required.
  • Ability to stand for four to eight hours is required.
  • Flexibility to work in alternative areas during peak periods or building maintenance is required.
Responsibilities
  • Perform receptionist and clerical duties of moderate difficulty in accordance with Housing and Residence Life policy and expectations.
  • Prepare materials for the opening and closing of residence halls.
  • Maintain updated key inventories, document resident room changes, and update desk-related documents upon request.
  • Provide leadership among desk clerks in delivering customer service and propose service improvements.
  • Greet residents, staff, and visitors in person or by phone.
  • Provide information about campus resources, residence hall policies, and procedures.
  • Receive, record, and distribute U.S. mail, UPS, FedEx, and other packages.
  • Enter packages into the online package distribution system.
  • Carry, lift, and move supplies, materials, and mail up to 49 pounds regularly, and manage heavier loads with assistance from building staff as needed.
  • Contact shipping companies when package pickup or investigation is needed.
  • Maintain resident, guest, and visitor sign-in and sign-out records.
  • Track the return of borrowed cleaning and recreational equipment and keys using appropriate forms and records.
  • Request front desk office supplies through the online system and stock supplies when received.
  • Follow directives and policies provided through training, email, and the Desk Clerk manual.
  • Provide routine orientation to new employees in coordination with Residence Hall Managers and Housing and Residence Life.
  • Access the automated on-call system to schedule replacement desk clerks.
  • Follow building emergency response and evacuation procedures, including fire alarm procedures.
  • Monitor unusual circumstances, take appropriate action, and report critical issues to the Assistant Director of Operations and building management by phone or online incident report.
  • Participate in monthly administrative processes, including Lead Clerk meetings and on-campus interviews for full-time Housing and Residence Life staff.
  • Work one to three shifts before the academic year to prepare the desk for student return.
  • Work Saturday and Sunday shifts during the closing and opening of break periods as needed.
  • Perform other tasks requested by the Assistant Director of Operations.
Desired Qualifications
  • Prior experience as a Desk Clerk I or in a similar position is preferred.
  • Customer service experience in a college or university is preferred.
