Requirements
  • Bachelor’s degree in business administration, office management, or related field.
  • At least 7 years of administrative experience supporting the Department of Defense (DoD)
  • Proven experience as an administrative assistant or similar role, preferably in a fast-paced military environment.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines effectively.
  • Strong attention to detail and accuracy in work.
  • Excellent communication skills, both written and verbal.
  • Discretion and confidentiality in handling sensitive information.
  • Active Top-Secret Clearance with SCI eligibility and current CI Polygraph. Note: US Citizenship is required to obtain a Top-Secret Clearance.
Responsibilities
  • Provide planning assistance to senior management and staff members, including but not limited to time management, scheduling, coordinating meetings, and travel logistics.
  • Plan, organize and maintain accurate and organized electronic and physical filing systems for important documents, correspondence, reports, and other materials.
  • Ensure confidentiality and security of sensitive information.
  • Serve as a primary point of contact for internal and external inquiries, emails, and phone calls.
  • Facilitate communication between various departments, stakeholders, and external partners as needed.
  • Assist in maintaining records, databases, and spreadsheets as required. Track expenses, process invoices, and assist in budget monitoring and financial record-keeping tasks.
  • Support the planning and execution of organizational events, conferences, and meetings.
  • Coordinate logistics, such as venue bookings, catering arrangements, and audiovisual equipment setup.
  • Draft, proofread, and edit correspondence, reports, and presentations as required. Ensure accuracy, consistency, and adherence to organizational standards.
  • Assist in the coordination and tracking of various projects and initiatives within the organization.
  • Provide administrative support to project teams as needed.
  • Provide general support and assistance to other team members and departments as required.
  • Maintain flexibility to handle diverse tasks and responsibilities as they arise.
  • This position may require up to 20% travel CONUS and OCONUS.
