How to make the payment process easier for practices and patients.

How to make the payment process easier for practices and patients. Anyone who runs a healthcare practice knows too much of the day is spent managing payments and scheduling. The systems that work well in a hospital gift shop or cafeteria aren't designed for the complexities of a medical or dental practice. In a practice, the amount owed can change after insurance billing. A patient might have a copay today, then receive a statement weeks or months later. Front-desk staff often juggle deductibles, coinsurance, secondary coverage and payment plans, while trying to keep the schedule moving with limited personnel. What makes healthcare and dental payments especially difficult is that they are rarely an isolated experience. They're a series of steps spread across the patient journey: check-in, treatment, insurance adjudication, follow-up billing and, in some cases, ongoing payments over time. Practices need payment systems built for that reality. Disconnected systems create friction for everyone I recently went to a doctor's appointment where a sign taped to the door said to check in at the kiosk. The "kiosk" turned out to be an iPad on a rolling stand with a PIN pad left on a shelf off to the side. When I went to pay, it was a different device with a different PIN pad. Even then, the front desk staff had a separate screen and a PIN pad. These are the kinds of confusing, disconnected systems that make a patient decide to pay later. This was at a major medical center in New York City, so it's not hard to imagine the challenges small and medium-sized practices across the country face. Disconnected devices and different vendors for online, text-to-pay and point-of-care payments create extra work for staff, confusion for patients and leave funds trapped in accounts receivable systems that span both payer reimbursement and patient payments. The risky business of legacy payments When payment history and sensitive details are stored in spreadsheets, printed notes or emailed files, exposure increases. Modern systems are designed to limit manual touchpoints and remove the risky workarounds that busy teams resort to when they don't have the right tools for the job. In healthcare, outdated systems can quickly become a compliance problem. When staff rely on workarounds to keep payments moving, sensitive patient and payment information can end up in places it should never be. A modernized payment system helps reduce that risk by keeping protected information within secure, purpose-built systems instead of scattering it across manual processes. Modernized payments can transform a practice Clover has partnered with Rectangle Health to deliver a payment solution built for small and midsize healthcare practices. It brings together EHR/PMS integration, workflows designed with HIPAA compliance in mind, scheduling support and the payment options patients expect, including online pay, text-to-pay and flexible payment plans. According to Rectangle Health data, practices that have introduced these types of modern capabilities have reported significant gains in collections, speed and staff efficiency. Practices that modernize payment operations with integrated software, workflows designed with HIPAA compliance in mind, automation and patient-friendly payment options often see measurable results. A connected system reduces front-desk burden, improves the patient experience and gives teams a clearer path to revenue collection. For example, securely storing patients' preferred payment methods - known as card-on-file - can nearly double the rate of time-of-service collections. One dental services office saw time-of-service collections grow from 30% to 97%. They also reduced outstanding accounts receivable by 65%. Improvements at that scale change cash flow and free up staff to focus on what matters most: patients. HIPAA-compliant workflows and integration with EHR/PMS platforms can help practices manage risk and create a smoother experience for patients. Systems modernization of this kind can reduce payment processing time by up to 70%. When payments follow a cleaner path, staff can focus on exceptions rather than chasing routine balances. Convenient options like 24/7 online bill pay and text-to-pay make it easier for patients to pay and improve satisfaction with the process. Recurring payments that allow patients to break up payments or pay flexibly over time is another satisfaction driver. It can reduce a patient's financial stress and generate more predictable cash flow for your practice. In fact, it is common to see a 47% decrease in outstanding accounts receivable when reminders, digital payment options and automated posting work as one system. O’Shun’s Orchard LLC has seen a 15% improvement in patient show rates after streamlining the payment experience. It makes sense from a productivity standpoint. The time saved - approximately 20 hours per week on average - gives staff more time to focus on patient scheduling and follow-up. When secure payments, automation and practice management integration work together, staff spend less time switching between screens, re-entering information and chasing balances. Patients get more ways to pay with less confusion, and practices gain a faster, more predictable path to collected revenue. Getting started Not sure if a change is needed? Start with a walk-through to assess the effectiveness of your current systems. Take on the role of a patient and of your front-desk team, and track the payment journey. * How many systems are required to take and post one payment? * How often do staff re-enter the same information? * How do you manage partial payments, refunds and payment plans? * Where does sensitive data live today? * Does your payment system integrate with EHR and PMS systems? * How is HIPAA compliance managed? * How long does it take for a patient balance to become money in the bank? A short review like this can reveal where delays, duplicate work and risk currently exist in your processes. At the end of the day, patients have enough things to worry about. How and where to make a payment shouldn't be one of them.

From Partnership to Platform: The Evolution of Smile Advantage Payments

From Partnership to Platform: The Evolution of Smile Advantage Payments. How Smile Advantage evolved from leveraging external payment infrastructure to operating a fully integrated processing ecosystem, delivering one platform, one team, and one relationship for dental practices. Several years ago, Smile Advantage was invited to join The Modern Practice Podcast, hosted by Rectangle Health. At that time, Smile Advantage was in an important growth phase. Smile Advantage LLC had established ourselves as a trusted partner for dental practices implementing in-house membership plans, often referred to as subscription dentistry or dental savings plans. Its membership software was strong. Its coaching model was proven. But payment infrastructure was still powered through an external partner. That season mattered. It shaped the next evolution of Smile Advantage. The early vision: subscription dentistry with structure. From the beginning, Smile Advantage positioned itself as more than billing software. Smile Advantage LLC described its system as a subscription dentistry platform, helping private practices and DSOs offer an alternative to traditional dental insurance. Instead of relying on third-party payers, practices could create their own in-house dental membership programs and restore clarity to the dentist-patient financial relationship. But successful membership required more than pricing sheets. Practices needed: * Secure recurring payment automation * PCI-compliant card vaulting * Centralized dashboard visibility * Real-time membership growth tracking * Marketing and coaching support * Predictable recurring revenue systems Recurring billing was, and still is, the backbone of dental membership software. To support that infrastructure during its early growth stage, Smile Advantage partnered with Rectangle Health for payment processing support. It was a productive and valuable chapter. What that season taught Smile Advantage LLC. That partnership enabled Smile Advantage LLC to: * Automate recurring membership payments * Centralize subscription management * Ensure healthcare-compliant billing * Reduce manual workload for front office teams * Strengthen the subscription dentistry model As Smile Advantage LLC continued to scale, however, one insight became increasingly clear: Technology is only part of the client experience. Even when systems function well, multiple vendor relationships can introduce subtle complexity, especially during merchant onboarding, underwriting, and ongoing payment support. It wasn't a breakdown. It wasn't a conflict. It was simply fragmentation. And for a company built on simplifying operations for dental practices, even small fragmentation signaled an opportunity to improve. The vision: one Platform. One Team. One Relationship. As Smile Advantage matured, the vision sharpened: If Smile Advantage LLC is powering dental membership, recurring revenue, and financial automation, the client experience should feel seamless from start to finish. Not divided across vendors. Not dependent on outside support teams. Not split between organizations. Practices want clarity. They want to know: * Who owns the process? * Who supports the system? * Who is accountable long term? The answer should be simple. That clarity led to the next evolution: Smile Advantage Processing (SAP). Introducing SAP: Smile Advantage Processing. Smile Advantage Processing (SAP) brings merchant onboarding, recurring billing, and payment infrastructure fully inside the Smile Advantage ecosystem. Today, when a practice joins Smile Advantage: * Membership implementation and payment setup are coordinated within one system * Merchant onboarding is guided directly by its team * Underwriting and approval are managed within its structured process * Ongoing payment questions remain inside the Smile Advantage environment * There are no additional outside vendor relationships introduced The result is not just integration. It's alignment. One Platform. One Team. One Relationship. From onboarding through long-term growth, practices operate inside a single ecosystem with a single accountable partner. What SAP enables. By bringing payment infrastructure into its platform, Smile Advantage now delivers: Coordinated onboarding. Software implementation and payment setup happen within a unified workflow. Advanced recurring payment automation. Renewals, retry logic, card updates, and membership lifecycle management operate within one system. Integrated PMS connectivity. Payment activity connects with supported practice management systems to reduce reconciliation errors. Multi-Channel payment capabilities. Online enrollment, digital payment requests, and in-office terminal processing are all managed within the Smile Advantage dashboard. Continuous support under one roof. Practices work with one team, not separate vendors, for membership, billing, and revenue support. From membership software to Dental Revenue OS. When Smile Advantage LLC originally appeared on the podcast, Smile Advantage LLC emphasized automation and customization. Every practice has its own DNA. Every membership program should reflect that. Today, Smile Advantage has evolved beyond standalone membership software. Smile Advantage LLC now operate as a Dental Revenue OS: an integrated financial operating system designed specifically for dental practices, combining: * In-house dental membership automation * Recurring payment processing * Revenue visibility dashboards * Compliance safeguards * Financial workflow automation All supported under one relationship. Supporting the Modern dental practice. Dental offices today face increasing operational complexity: * Staff turnover * Expanding compliance requirements * Technology fragmentation * Rising patient expectations Adding more vendors does not solve complexity. Consolidating systems does. By unifying membership software and payment processing into one coordinated platform, Smile Advantage reduces friction across the entire revenue lifecycle, from enrollment to renewal to ongoing support. Front office teams gain clarity. Doctors gain financial visibility. Patients experience smoother billing. Honoring the journey. Every growth company moves through seasons. Its earlier partnership chapter helped Smile Advantage LLC: * Strengthen its recurring billing foundation * Deepen its understanding of healthcare payment infrastructure * Validate the subscription dentistry model * Recognize opportunities to simplify the client experience It was an important milestone. And it positioned Smile Advantage LLC to build something stronger. Where Smile Advantage stands today. Smile Advantage now delivers: * Dental membership software * Integrated recurring payment processing (SAP) * Unified merchant onboarding * Ongoing billing and revenue support * PMS connectivity * A fully integrated Dental Revenue OS All within one cohesive ecosystem. Its mission remains unchanged: Help dental practices remove insurance friction, build predictable recurring revenue, and restore ownership of the patient relationship. Today, Smile Advantage LLC power that mission end-to-end. One Platform. One Team. One Relationship. The takeaway. Its appearance on The Modern Practice Podcast marked an important moment in Smile Advantage's evolution. Since then, Smile Advantage LLC has transitioned from leveraging external payment infrastructure to operating a fully integrated processing ecosystem under Smile Advantage Processing (SAP). The result is a clearer, more aligned, and more streamlined experience for dental practices. The mission stayed the same. The system matured. And the relationship became simpler.
