Requirements
  • Proficient in Smartsheet. Knowledge of Brandfolder is a plus.
  • 2+ years of agency project management experience, working across multiple creative projects.
  • Keen understanding of agency principles and project process terminology.
  • True problem solver—able to anticipate roadblocks and offer solutions.
  • Highly detail-oriented while managing multiple tasks and tight deadlines with confidence.
  • Exceptional interpersonal skills necessary to interact with a range of personalities and establish effective relationships at all levels of the organization.
  • Demonstrates patience and approaches all situations with a positive attitude and healthy sense of humor.
  • Ability to balance a sense of urgency with a calm and confident presence.
  • Ability to 'bring order to chaos' by distilling disparate and/or ambiguous information into clear and actionable next steps while clearly outlining the 'unknowns'.
  • Fearlessness to raise your hand and ask questions and/or raise concerns.
Responsibilities
  • Coordinate and manage multiple projects from intake through final delivery.
  • Serve as liaison between client teams, internal stakeholders, and creative Studio teams.
  • Communicate project requirements and procure supporting materials to ensure projects move through the agency in a timely manner.
  • Communicate scheduled deadlines and provide effective warning when delivery dates may be in jeopardy.
  • Monitor and follow up with appropriate stakeholders on project development, clearly outlining owners, next steps, and potential risks (if any).
  • Maintain up-to-date and organized files for all stages, from concept to completion.
  • Initiate, develop, drive, and revise project timelines.
  • Coordinate team briefings, internal reviews, and all other meetings needed to complete any given project.
  • Reinforce the Agency process with all teams.
  • Partner with client and finance teams to manage and communicate project burn, scope creep and participate in the monthly forecasting process.
  • Must be able to estimate project costs quickly and effectively.
  • Must have familiarity with staff plan creation and scoping process.
  • Partner with client and resource management teams on resourcing needs to ensure the right team members are identified and allocated.
