Requirements
  • A high school diploma is required, with an equivalent combination of education and work experience accepted in lieu of a bachelor's degree.
  • Five years of office experience, including coding, data entry, procurement, and working with contractors, is required.
  • Must understand tool and equipment names, equipment functions, household items, and maintenance items.
  • Must possess the knowledge, skills, and abilities to perform the essential duties and keep knowledge current.
  • Must demonstrate cultural competency when working professionally with diverse individuals, groups, and communities.

Responsibilities
  • Provide administrative support to the Facilities Operations and Project Coordinator, including ordering Facilities department-related supplies, completing purchase orders, tracking orders, and coordinating deliveries.
  • Provide administrative support to the Facilities Division's departments and teams and, as needed, to other executives and departments.
  • Maintain and update the department vendor database.
  • Assist with ordering facility-related supplies and furniture across the Agency and affiliates, including office supplies, name plates, ancillary signage, basic items for new start-up locations, carpet, and office furniture.
  • Maintain office inventory records, including seating charts and office furniture tracking.
  • Manage Agency accounts for copiers and postage machines; coordinate machine service and supplies; and maintain and update managed equipment inventory, including copier and office equipment lease information.
  • Process and code vendor invoices for payment, reconcile monthly credit card statements including gas card and purchasing card statements, and create check requests with Finance as required.
  • Maintain the Property Portfolio document annually.
  • Attend scheduled staff meetings, supervision, and ongoing training.
  • Maintain all required training courses, certifications, and licensure in accordance with applicable licensing and accreditation regulations and standards.
  • Handle client-related documents in accordance with Agency guidelines on confidential material and protect client privacy.
  • Maintain confidentiality of sensitive employee information during and after employment.
  • Maintain high standards of ethical and professional conduct and adhere to Agency policies and procedures.
  • Perform other duties as assigned by management.
