Requirements
  • A minimum of one year of experience in a hospital or financial setting, or a minimum of three years of total customer-facing or customer-service experience.
  • Education equivalent to a high school diploma or General Educational Development credential, or sufficient prior work experience demonstrating the required knowledge, skills, and abilities.
  • Ability to use patient registration, scheduling, verification, and pre-certification information systems, including DeRoyal, HBOC, Account Link, and Medifax.
  • Knowledge of insurance plan requirements, verification of benefits, pre-certification requirements, patient liability, billing, payment policies, and applicable regulatory requirements.
  • Ability to maintain patient registration accuracy at a rate of 95 to 100 percent.
  • Ability to handle varying tasks, set priorities, maintain confidentiality, and recognize situations requiring supervision.
  • Ability to complete required annual education assignments and follow policies, procedures, and safety standards.
Responsibilities
  • Coordinate centralized scheduling of outpatient diagnostic and surgical procedures.
  • Collect and accurately enter patients' demographic, medical, and financial information for scheduling, registration, and account verification.
  • Collect co-payments and deposits, generate payer receipts, and deliver cash transactions to the cashier for posting to patient accounts.
  • Maintain the confidentiality of patient information.
  • Recommend policy and procedure updates to improve efficiency and data integrity.
  • Notify the Financial Counselor about potential self-pay patients, workers' compensation patients, and non-covered procedures.
  • Make patient type changes based on information from Medical Records staff or Care Coordinators and ensure supporting documentation is present in the medical record.
  • Document reservations and enter faxed reservations into the HBOC scheduling system.
  • Schedule operative and diagnostic procedures in the HBOC scheduling system, document procedure details, and notify departments of special resource requirements.
  • Verify insurance benefits and obtain pre-certification from third-party payers.
  • Provide documentation to DHS and Med Assist staff for patients who may need financial assistance or TennCare enrollment.
  • Enter verification and pre-certification notes into the SMS financial system.
  • Work with clinical and care management areas to improve collections and cash flow.
  • Analyze claims denial data to improve collections, insurance-company and physician-practice relations, and workflow processes.
  • Report procedural changes and updates to appropriate leadership.
  • Provide professional service to patients, physicians, visitors, and hospital staff.
  • Explain consent for treatment, advance directives, medical and financial releases, deposit requirements, billing and payment policies, and advanced beneficiary notices to patients or family members.
  • Direct, escort, or provide wheelchair assistance to patients after registration.
  • Perform pre-registration by phone and mail and advise patients of co-pay or deductible amounts due upon admission.
  • Maintain the computerized bed board and bed-tracking information to minimize wait times for admitted patients.
  • Coordinate inpatient and observation admissions with Nursing Services.
  • Update schedules for unexpected procedures, cancellations, and changes and communicate revisions to affected individuals.
  • Cross-train in scheduling, registration, verification, and pre-certification duties.
  • Prepare patient account folders by scanning and indexing registration, scheduling, verification, and pre-certification documents into the optical imaging system.
  • Activate manual downtime systems, print schedules in advance when needed, and notify leadership of unscheduled downtime.
  • Coordinate classroom scheduling for meetings and conferences and confirm dates and times.
  • Participate in quality improvement initiatives and work toward departmental goals and objectives.
  • Perform other assigned duties.
Desired Qualifications
  • A Bachelor's degree in a directly related field from an accredited college or university.
