  • Demonstrated success leading cross-unit or cross-organizational initiatives from concept through implementation, including developing work plans, timelines, milestones, and budgets.
  • Experience convening and facilitating meetings, working groups, or events with senior leaders, faculty or subject-matter experts, and external partners, and driving follow-through on outcomes.
  • Ability to translate high-level strategic goals into concrete, prioritized action plans and manage multiple concurrent priorities in a fast-paced, evolving, start-up environment.
  • Experience coordinating hiring, recruitment, or team-building processes in a large organization.
  • Strong written and oral communication skills, including preparing briefings, reports, and presentations for executive audiences.
  • Strong interpersonal and relationship-building skills, sound judgment, discretion, and ability to work effectively across organizational cultures.
  • Proficiency with project management and collaboration tools such as Microsoft 365, Smartsheet, Asana, or similar.
  • Applicants must ensure eligibility to work in the United States by the effective date of appointment, as a U.S. citizen or national, lawful permanent resident, or foreign national authorized to work without employer sponsorship.
Responsibilities
  • Partner with the Task Force Leader to define and refine the AI in Health initiative’s strategic vision, goals, and multi-year roadmap across CAI and SMPH, and translate these into actionable work plans, milestones, and success metrics.
  • Plan and lead regular meetings, working groups, workshops, and seminars that bring together SMPH, CAI, campus, health system, industry, government, and community partners to identify research and teaching directions and initiate collaborative projects.
  • Work with leadership, human resources, and finance in CAI and SMPH to define and secure approval for staff positions, launch searches, coordinate recruitment logistics, and support onboarding.
  • Establish the initiative’s operating rhythm, including timelines, action-item tracking, risk and issue management, and budget monitoring, to keep commitments across both units on schedule.
  • Help design and administer early-stage collaboration mechanisms such as pilot or seed-funding programs, faculty matchmaking, and project kickoffs, and track projects from idea to launch.
  • Build and maintain an inventory of artificial intelligence and health expertise, projects, data resources, and programs across campus and partner organizations to identify synergies and gaps.
  • Identify external funding opportunities, including those from federal agencies, foundations, and industry, and coordinate planning and assembly of large, multi-investigator and center-scale proposals.
  • Support CAI and SMPH faculty in scoping new courses, certificates, training programs, and other learning opportunities in artificial intelligence and health.
  • Staff the task force and advisory committees by preparing agendas and briefing materials, recording minutes, and tracking decisions; help navigate institutional processes for partnerships, data access, and agreements with campus offices.
  • Prepare reports, presentations, and briefings for deans and senior leadership; coordinate initiative communications such as web content, newsletters, and event announcements; and report progress against goals.
  • Set priorities, allocate tasks, and collaborate with project staff to meet program targets and milestones; manage change control and act as the mid-level decision-making authority.
  • Create the program plan and structure, monitor progress and performance against the plan, and identify, resolve, or escalate program risks and issues.
  • Facilitate estimation of program costs, resources, and time; monitor activities and budgets; direct and lead component project manager activities for consistency and alignment; and work with program leadership to meet targets, following established change-control processes when targets can no longer be met.
  • Lead and manage efforts to determine and coordinate sharing of resources among component projects for the overall benefit of the program.
  • Prepare regular program-status reports for audiences within and beyond the program team; communicate goals, risks, and status to executive-level program leaders, sponsors, and stakeholders; and develop and use dashboards, measures, and reporting tools.
  • Manage activities of outside contractors and vendors to integrate them into the program and ensure the organization receives satisfactory service standards.
Desired Qualifications
  • A master's degree in a relevant field, such as public health, health administration, business administration, public policy, computer science, or data science.
  • Experience managing initiatives in an academic, research, or academic medical center setting, including working with faculty and shared governance.
  • Familiarity with artificial intelligence, data science, digital health, biomedical informatics, or health care delivery and research.
  • Experience with research development, such as coordinating multi-investigator grant proposals, center grants, or internal seed-funding programs.
  • Experience building or managing academic–industry or academic–health system partnerships.
  • Experience supporting the development of educational or training programs.
  • Knowledge of UW–Madison or comparable large public university administrative, human resources, and financial processes.
