Requirements
  • Vocational training, an apprenticeship, or equivalent experience in a related field is required.
  • Knowledge and skills developed through 5–7 years of work experience in a related job discipline are required.
Responsibilities
  • Provide administrative support to multiple faculty members and clinical associates within the department.
  • Process reimbursements and payments for faculty, clinical associates, staff, and students as needed.
  • Maintain calendars for multiple faculty members and clinical associates, as well as conference room schedules.
  • Coordinate meetings within the Section, including food orders and room setup.
  • Assist with preparing presentations, reports, and correspondence.
  • Coordinate travel arrangements and itineraries as needed.
  • Assist with organizing ad hoc and regular Section events.
  • Assist with seminar series speakers, including coordinating speaker and visitor visits to the Section, preparing itineraries, assisting with travel arrangements, and processing travel reimbursements.
  • Assist with maintaining the Section website and email distribution lists.
  • Provide coverage for other administrative staff as needed.
  • Check and distribute mail.
  • Triage email and telephone calls for action, particularly those related to Ingalls Memorial Hospital clinic and inpatient services, and resolve routine and some complex inquiries.
  • Coordinate special projects as directed by the leader.
  • Prepare write-ups with recommendations for operational and administrative problems.
  • Manage a portion of the leader’s budget, including monitoring and reconciling accounts.
  • Prepare financial and administrative reports.
  • Prepare special reports and summaries.
  • Assist in managing the daily operation of the office.
  • Assist in developing administrative goals and policies as needed.
  • Maintain the leader’s calendar.
  • Perform other related work as needed.
Desired Qualifications
  • An Associate’s degree in Business Administration or a related field is preferred.
  • Previous Administrative Assistant experience, including meeting planning and setup, reimbursement processing, calendar maintenance, travel arrangements, and itinerary preparation is preferred.
  • Knowledge of Oracle and GEMS or similar reimbursement and payment systems is preferred.
  • Familiarity with central administration within a complex academic medical center environment is preferred.
  • Experience with software applications such as Outlook, Adobe Acrobat, PowerPoint, and Photoshop or equivalent applications is preferred.
  • The ability to use appropriate resources to resolve issues is preferred.
  • The ability to follow issues through to resolution is preferred.
  • Considerable skill in working independently and as a team member is preferred.
  • The ability to take initiative and organize and complete projects with minimal supervision is preferred.
  • Proficiency with word processing applications, spreadsheets, and databases is preferred.
