Requirements
  • Bachelor’s degree in Business Administration, Nonprofit Management, Public Administration, or a related field.
  • 8 years of professional experience in operations, administration, or business management, ideally in nonprofit operations and management.
  • 3-5 years of experience in a leadership or management role supervising staff or teams.

Responsibilities
  • Manage the day-to-day operations of the Operations Team and lead internal communications across the team.
  • Support the COO in managing Operations Team meetings and communications, including meeting agendas, talking points, and reporting to the Board of Directors.
  • Collaborate with organizational leaders to ensure annual completion of Operations’ strategic plan goals and initiatives.
  • Oversee the Washington, DC office, including supervising the Office Manager and managing office-related and general operations needs.
  • Supervise the Office Manager’s key tasks, including merchandise, general contact channels, and governance documents.
  • Identify opportunities to expand the Operations team’s support for cross-organizational initiatives and develop strategies for new workstreams and systems.
  • Evaluate and update internal policies, procedures, the Employee Manual, and the Culture & Operations Handbook, and develop and implement new operational policies and procedures.
  • Standardize workflows, resolve process bottlenecks, and ensure cross-functional adoption of project management methodologies.
  • Establish strong internal communications across the organization.
  • Manage monthly staff meeting logistics, including compiling staff notes and scheduling presentations.
  • Maintain the internal staff resources intranet and organizational calendar.
  • Coordinate organization-wide training sessions and culture gatherings with the People & Culture team and VP of Equity and Inclusion.
  • Organize the biannual staff gathering and other in-person staff gatherings, including securing accommodations and meeting locations and coordinating agendas.
  • Lead or co-lead the annual Active Minds Mental Health Conference and co-manage its cross-team planning committee.
  • Coordinate conference project timelines and tasks and facilitate staff engagement in delivering the annual event.
  • Secure conference locations, hotel room blocks, vendors, and facilitators, ensuring contracts are reviewed by Senior Legal Counsel.
  • Support the Executive Director and COO in managing the Board of Directors through monthly email updates and quarterly Board reports.
  • Serve as Operations lead for organizational priorities, ensuring staff assignments, communications, and execution of operational plans.
  • Establish and oversee organizational project management practices and improve workflows, systems, and operational efficiencies.
  • Direct special projects and organization-wide strategic initiatives assigned by the Executive Director or COO.
  • Work with the Executive and People and Culture teams on culture and collaboration initiatives.
  • Work with Senior Legal Counsel to maintain trademarks, review vendor contracts, and address organizational policy questions.
  • Make deposits into the Bank of America account as backup for the VP of Finance and Administration.
  • Manage staff-assigned credit cards, including requesting and canceling cards and serving as the point of contact for staff credit card needs.
  • Support managers in implementing organizational policies and operational best practices.
  • Oversee operational systems, including project management tools and internal communications systems.
  • Direct the equity-in-business-operations process with the VP of Equity and Inclusion.
  • Ensure compliance with relevant regulations, policies, and organizational standards.
  • Serve on the Leadership Team and operationalize and assess strategic and innovation opportunities and culture-building initiatives.
Desired Qualifications
  • Master’s degree preferred but not required, such as an MBA or MPA.
  • Experience in nonprofit operations and management.
