Requirements
  • A High School Diploma or GED equivalent is required.
  • Maintain Heartsaver CPR AED certification through the American Heart Association.
  • Have at least one year of experience in a healthcare setting as a Medical Records Technician, Unit Clerk, Medical Record Clerk, or similar role involving daily electronic medical or health record processing.
  • Have at least one year of direct experience using Microsoft Word, Excel, Outlook, and SharePoint.
  • Pass a background check and drug screen and maintain current physical and immunizations.
  • Have knowledge of standard electronic medical record procedures, methods, and requirements for routine medical records management.
  • Have knowledge of the procedures, documentation requirements, deadlines, functions, and workflow for processing electronic medical records and reviewing records for accuracy and completeness.
  • Have knowledge of medical terminology.
  • Be able to manage a high volume of medical records, including intake, discharge, and requests from outside sources.
  • Be able to process information requests in accordance with the Fair Information Practice Principles and Privacy Act.
  • Be able to recognize documentation inconsistencies and take appropriate action to resolve them.
  • Be able to maintain an electronic medical record system and ensure compliance with applicable regulatory agencies.
  • Be able to work in a multicultural and multilingual environment.
  • Be able to spend approximately 90% of work time using computers, scanners, and printers.
  • Be able to use telephonic interpreter or translation services when needed.
  • Be able to adapt to sudden schedule changes and flexible work requirements.
  • Communicate proficiently in English, verbally and in writing.
  • Be able to navigate electronic health records, web-based training, and electronic communications.
  • Have functional proficiency in Microsoft Word, Excel, Outlook, and SharePoint.
  • Know HIPAA and Privacy Act requirements concerning patient medical records, confidentiality, and personally identifiable information.
  • Be able to stand, walk or jog over uneven surfaces, bend, crouch, stoop, stretch, reach, and lift moderately heavy patients or equipment as required.
  • Be able to respond to facility medical emergencies on foot within four minutes and perform CPR or emergency care while standing or kneeling.
  • Be able to assist sick, injured, or aging detainees or staff in exiting the building during an emergency.
Responsibilities
  • Maintain accurate and complete electronic medical records for patients.
  • Perform daily electronic health record checks and address outstanding items with the appropriate staff member.
  • Maintain the patient and clinical staff appointment system.
  • Track compliance with scheduled appointments and send timely reminder notices to IHSC staff when applicable.
  • Receive, scan, verify, file, and archive medical documentation within prescribed timelines and appropriate sections of the electronic medical record.
  • File laboratory, radiology, and other clinical reports in the electronic medical record.
  • Route clinical reports and incomplete documents to the appropriate clinic staff or provider for action and correction.
  • Use multiple systems to process narrative and tabular material and provide requested information to medical personnel.
  • Perform record-keeping functions in accordance with program policies and position requirements.
  • Complete Medical Records Technician competencies initially and annually.
  • Complete required initial, annual, and ad hoc training.
  • Participate in analyzing established protocol practices and identifying areas for improvement.
  • Maintain patient and medical-record confidentiality in compliance with the Privacy Act and HIPAA regulations.
  • Adhere to IHSC policies, procedures, directives, operational memoranda, and accreditation standards.
  • Participate in safety, prevention, infection control, quality improvement, patient education, and other applicable programs and collateral duties.
  • Attend and participate in general and medical staff meetings.
  • Respond to emergency activations and work assigned day, evening, weekend, holiday, and occasional night shifts based on mission needs.
