Requirements
  • Graduation with proof of a high school diploma or possession of an approved high school equivalency certificate is required.
  • The employee must pass the New Jersey Presumptive Eligibility State exam (Medicaid enrollment exam) within the first year of employment; failure to pass may subject the employee to termination from the position.
  • The employee must be able to use modern office techniques and practices and operate and care for office machines and equipment.
  • The employee must be computer literate and proficient.
  • The employee must be able to speak and write clearly in English and hear at normal speaking levels in person and over the telephone.
  • The position requires sufficient manual dexterity to operate phones, computers, and other office equipment, and the physical ability to kneel, bend, and perform light lifting.
  • The employee must be able to tolerate frequent work interruptions, organize work, reset priorities, and complete responsibilities in a timely manner.
  • The employee must be able to work in a fast-paced environment and remain on task.
Responsibilities
  • Promptly answer, screen, and process medical service requests and telephone inquiries while adhering to confidentiality agreements, policies, and procedures.
  • Provide information about the health center’s programs, policies, and procedures.
  • Collect and enter patient intake information into the appropriate medical service software system, documenting it concisely, thoroughly, and accurately.
  • Refer patients to the nursing team for triage and medical advice.
  • Use automated computer software to schedule appointments and communicate scheduling information to the appropriate party according to established protocols.
  • Participate in educational opportunities relevant to the call center or customer service environment.
  • Meet quality benchmarks and indicators as monitored through audits or recordings.
  • Provide coverage for call center or front desk patient registration based on scheduling adjustments for unexpected absences, events, or call-volume changes.
  • Manage cash and process co-pays efficiently, ensuring accuracy in insurance verification procedures.
  • Facilitate interoffice team communication through constructive problem solving and resolve conflicts among team members promptly and fairly.
  • Maintain working knowledge of provider clinical schedules, call schedules, and leave schedules.
  • Use, monitor, and maintain data from EHS modules, including scheduling and patient registration.
  • Work at any HJA location or remotely on demand as needed based on business needs.
  • Meet quarterly incentive standards in all categories.
  • Demonstrate positive customer relationship skills during telephone encounters and meet internal and external customer service expectations.
  • Support changes in call-flow processes and communication services, suggest improvements, and participate in organized efforts to improve service levels.
  • Handle multiple tasks effectively and efficiently and perform other assigned duties.
  • Promote positive interpersonal relations among team members and use effective problem-solving techniques when issues arise.
  • Arrive at the workstation on time, ready to work, and demonstrate minimal absenteeism.
  • Perform other duties and assume other responsibilities as assigned by the Patient Services Supervisor or Patient Access Director; duties and responsibilities may change or be added.
Desired Qualifications
  • A two-year college degree or other post-secondary education and/or training is preferred.
  • Bilingual Spanish is preferred and may be required as indicated by the job notice.
