About the Job

Requirements

  • At least 3 years of project management experience in an agency, marketing, or integrated services environment.
  • Experience managing integrated marketing campaigns for enterprise technology, artificial intelligence, software-as-a-service, or consumer technology clients within an agency environment is strongly preferred.
  • Comfort supporting fast-paced technology clients with evolving priorities, managing multiple concurrent workstreams, accelerated timelines, and cross-functional teams across Strategy, Creative, Production, Influencer, Paid Media, and Analytics.
  • Experience supporting technology product launches, artificial intelligence initiatives, or business-to-business technology marketing campaigns, with the ability to translate complex client objectives into structured project plans and seamless campaign execution.
  • Strong command of project management tools; Monday.com experience is required.
  • Proven ability to manage multiple concurrent programs with competing timelines and shifting priorities.
  • Strong analytical skills, including pulling data, running burn calculations, and translating numbers into actionable recommendations.
  • Ability to maintain organized documentation and infrastructure across multiple accounts.
  • Ability to drive accountability without direct authority and coordinate effectively across cross-functional teams.
  • A proactive, solutions-oriented approach, identifying problems before escalation and developing recommendations.

Responsibilities

  • Maintain a master program tracker as the single source of truth across assigned accounts, including action items, resource links, work-back schedules, center-of-excellence allocations, deliverable status, and project status.
  • Ensure consistency in project scope, establish key phases, define milestones, and set timelines in partnership with Client Services leadership to validate the approach and calibrate expectations.
  • Proactively identify scope drift and compressed timelines before they create downstream risk, escalating to leadership when senior judgment is needed.
  • Build and maintain internal and external work-back schedules in advance.
  • Continuously identify gaps, compressed timelines, budget pressure, and opportunities to improve project operations.
  • Ensure cross-functional teams are informed and aligned.
  • Support the Vice President of Client Services in monitoring budgets, hours, burn, pacing, and utilization across active scopes.
  • Pull exports, calculate data by staff member and department, review month-over-month trends, identify drivers, and surface findings to leadership for review and direction.
  • Document and consolidate learnings and optimizations for downstream use.
  • Set up and maintain project infrastructure, including internal kickoff documents, folder structures, Slack channels, Monday.com boards, campaign management trackers, timelines, and shared documentation.
  • Partner with the Vice President of Client Services to schedule and assign appropriate project resources.
  • Forecast capacity, reallocate resources as needed, balance workloads, flag capacity gaps, and develop staffing recommendations when demand exceeds supply to ensure tasks are completed on schedule.
  • Own utilization and team time-tracking workflows, including setting resource allocations before campaign kickoff, conducting biweekly time audits and monthly program health audits, and following up with centers of excellence to correct misbilled time entries.
  • Provide Client Services leadership, including Vice Presidents, Directors, and Associate Directors, with high-level burn and pacing summaries and insights on trends.
  • Communicate risks early with supporting context so leadership can determine the path forward.
  • Schedule and lead internal standups, workflow meetings, internal reviews, and status syncs, including resolving calendar conflicts across teams.
  • Ensure internal meetings are documented manually or with Gemini Notes/Transcript, distribute post-meeting recaps, add notes to channel canvases, and track follow-up actions to completion.
  • Provide internal teams with timely updates and documentation covering status, next steps, timeline changes, and budget implications.
  • Attend client status meetings and briefings as needed, based on Client Services leadership guidance.
  • Hold weekly syncs with account supervisors and associate directors, and schedule one-off sessions with creative, strategy, and business intelligence leads to align on progress, surface pain points, and identify optimization opportunities.
  • Collaborate with producers to coordinate creative development logistics, schedule brainstorms, build production timelines, and integrate creative and production milestones into the master work breakdown structure across pre-production, shoot, and post-production.
  • Support content calendar production by assessing feasibility against program scope, resource availability, paid flight dates, and production runway; track calendar adherence and flag slippage early for all scoped deliverables, including influencer and studio-produced content.
  • Collaborate with producers to manage the post-production review cycle, track internal review timelines against the master work breakdown structure and client timelines, route assets to the correct client stakeholders using agency tools such as Monday.com, coordinate asset versioning, recutting, and repurposing according to feedback and timing, and escalate timeline-threatening bottlenecks.
  • Own the handoff from production to posting and paid media, working with producers to confirm assets are final, formatted, tagged, and delivered to the correct team with the proper specifications and flight dates.
  • Evaluate workflows across assigned accounts, identify practical improvements, and escalate larger process changes to leadership for alignment.
  • Support process standardization across accounts and project management practices.
  • Support rhythm-of-business efficiencies that reduce friction for the assigned book of business.
  • Serve as the operational point of contact for questions across centers of excellence regarding scheduling, permissions, documentation access, and process clarification, owning the answers rather than relaying questions.

Desired Qualifications

  • Experience managing integrated marketing campaigns for enterprise technology, artificial intelligence, software-as-a-service, or consumer technology clients within an agency environment is strongly preferred.
  • Experience managing creative production workflows from ideation through final delivery is a strong plus.
