About the job

Requirements
  • A high school diploma or equivalent is required; an associate’s or bachelor’s degree is preferred.
  • At least 2 years of administrative, sales-support, or coordinator experience, ideally supporting an outreach, business development, or provider-facing team.
  • Strong written communication skills, including drafting professional follow-up emails and corresponding with provider office staff.
  • Strong organization and follow-through to manage open items across multiple providers independently.
  • High accuracy in data entry and documentation, including identifying and correcting gaps and inconsistencies.
  • Ability to learn and use case-management, customer relationship management, or tracking systems and keep records current.
  • Professional phone and email presence when communicating with provider office staff.
  • Ability to work independently in a remote environment and coordinate across a small team with multiple priorities.
Responsibilities
  • Send the firm’s one-pager and related provider materials and draft and send follow-up communications after provider meetings or outreach contacts.
  • Create and maintain a follow-up cadence for each newly connected provider, keeping open items, next steps, and owners visible to the team.
  • Serve as the day-to-day administrative contact for provider administrative and front-office teams, requesting and following up on information the firm needs.
  • Escalate relationship, pricing, and policy questions to the Provider Relations team and keep the relationship owner informed of outstanding items.
  • Track received and missing provider information, including contact and office information, billing and records-request details, locations, and specialties, and follow up until each file is complete.
  • Accurately enter and update provider information in the firm’s systems, including Filevine and the provider tracking tool, on a consistent timeline.
  • Support provider mapping to ensure providers and locations are recorded once, consistently, and linked correctly to cases and records.
  • Maintain a provider contact log documenting outreach attempts, responses, and status changes.
  • Schedule and prepare logistics for provider meetings, visits, and follow-up calls, and capture notes and action items afterward.
  • Keep provider materials current and ensure the latest approved versions are sent.
  • Support provider tracking and reporting on connected providers, onboarding status, and documentation completeness.
  • Flag recurring data gaps, system friction, or process issues to leadership and suggest improvements.
  • Follow firm standards for data-entry quality, naming conventions, and documentation so records are reportable and auditable.
  • Handle provider and records-related information according to firm confidentiality and HIPAA-related practices, escalating questions to Compliance through leadership.
  • Back up the Provider Relations team by answering calls and facilitating quick connections for escalated needs or providers seeking contact, and help coordinate in-field adjustments when the field representative is already in a meeting.
Desired Qualifications
  • Experience supporting a sales, business development, or provider-relations team.
  • Experience in healthcare administration, medical office operations, personal injury, or legal services.
  • Familiarity with HIPAA and medical records handling.
  • Familiarity with Filevine or similar legal case-management or customer relationship management platforms.
