Requirements
  • Ability to pass local, state, and FBI criminal background checks.
  • Must be at least 21 years of age.
  • A High School Diploma or GED is required.
  • A minimum of two years of experience in a behavioral health, medical, or healthcare office environment, preferably in a front office, administrative, or office management capacity.
  • Ability to take full ownership of front desk operations, prioritize tasks, solve problems, and ensure continuity of daily workflow.
  • Proficiency in typing and organization, verbal, and written communication.
  • Competence in Google Suite, Adobe Acrobat, and Microsoft Office Suite.
  • Ability to meet deadlines and reliably complete assigned tasks.
  • Interpersonal ability to build positive, effective relationships with clients, families, and colleagues.
  • Computer literacy and comfort with data systems, software applications, and electronic reporting.
  • Must maintain a clean driving record and active auto insurance.
Responsibilities
  • Uphold TeamBuilders’ philosophy, policies, and standards of conduct.
  • Adhere to program and state regulations related to care for children, adolescents, adults, and families.
  • Welcome and check in all clients and visitors.
  • Maintain the cleanliness and organization of the lobby, reception area, meeting rooms, common areas, and restrooms, including wiping sinks, emptying trash, and stocking supplies.
  • Collect, log, and process client payments and pursue outstanding balances as directed by Billing.
  • Collect, sign, and maintain required client documentation, including registration forms, consents, releases, primary care provider notifications, insurance cards, and overdue forms.
  • Answer, screen, transfer, and take messages for incoming calls.
  • Confirm, remind, and follow up with clients about appointments by call, text, or email.
  • Initiate calls for pre-visit screenings, referral follow-up, collateral information gathering, and client surveys.
  • Document cancellations and missed appointments in the electronic medical record, reschedule clients, and fill open provider-calendar slots.
  • Sort, prepare, and process incoming and outgoing mail.
  • Order office supplies through authorized vendors according to company policy.
  • File supporting documents in client charts using correct naming and filing protocols.
  • Provide front-office support through data entry, scanning, electronic filing, fax retrieval and distribution, and phone coverage.
  • Coordinate with referral sources and self-referrals to perform initial intakes, insurance verification, enrollment, and screening with the Clinical Supervisor.
  • Assist clients with registration, informed consents, required forms, and authorizations.
  • Support and participate in clinical seminars, meetings, supervision, and training events.
  • Compile reports and enter accurate data into electronic systems and tracking logs.
  • Process new and inter-agency referrals.
  • Prepare parent packets for therapists and schools.
  • Conduct phone outreach to parents, guardians, and referral sources and complete brief intake interviews within 24 hours of referral receipt; follow up by text or email and copy program or clinical supervisors on communications.
  • Enter demographic, insurance, and health information into the agency’s electronic medical record and log referrals in the tracking log.
  • Verify insurance and confirm payment methods for new clients.
  • Coordinate with clinical staff regarding referral status and intake progress.
  • Schedule the first available appointments for new clients with assigned providers within 24 hours.
  • Keep the Provider Capacity Spreadsheet updated.
  • Participate in monthly in-person team meetings in Santa Fe regarding school-based referral progress and challenges.
  • Provide additional administrative assistance during training or special events.
  • Perform additional duties assigned by the direct supervisor or executive management.
Desired Qualifications
  • Bilingual or bicultural English and Spanish capability.
  • Bachelor’s degree in human services or a related field.
  • Experience in a front-office, administrative, or office-management capacity.
