Responsibilities
  • Provide administrative and operational support to the Office of Patient Experience and ICARE Commitment by coordinating day-to-day office functions, recognition activities, and departmental workflows.
  • Serve as a primary point of contact for internal staff, patients, families, vendors, and committees by responding to inquiries, monitoring shared inboxes, routing requests, and maintaining timely and accurate communication related to Patient Experience and ICARE initiatives.
  • Manage core components of the UR Stars recognition program, including processing patient and family submissions, responding to data and reporting requests, coordinating badge pulls and materials, and troubleshooting issues with internal partners and vendors.
  • Plan and execute departmental projects, meetings, and events by managing calendars, preparing materials, coordinating logistics, taking minutes, and maintaining organized records and documentation.
  • Perform document preparation, proofreading, data entry, and reporting while ensuring confidentiality, accuracy, and adherence to institutional policies.
  • Provide guidance or task direction to student employees working within the department.
  • Answer phones, monitor shared inboxes, route inquiries, distribute notices, and disseminate Patient Experience and ICARE materials to University of Rochester Medical Center staff.
  • Provide general office backup, including assistance with payroll, billing, reimbursements, inventory, and mailing systems as needed.
  • Coordinate patient and family member entries into the UR Stars recognition program and respond independently to report requests, data inquiries, and program-related questions.
  • Manage calendars, schedule meetings, coordinate logistics, prepare and edit documents, presentations, and reports, and handle email, mail, and phone correspondence while maintaining document organization and confidentiality.
  • Assist with planning and executing Patient Experience, ICARE, and recognition-related projects and events, including associated administrative and logistical tasks.
  • Serve as the departmental point of contact with external vendors supporting recognition badges, badge pulls, and administrative materials; coordinate orders, timelines, and issue resolution.
  • Proofread and quality-review departmental documents and print materials; compose and type correspondence; take minutes; and maintain records for departmental and cross-functional committees.
  • Modify and record data, run pre-built reports, organize information for departmental initiatives, and maintain working knowledge of departmental databases, policies, workflows, and institutional norms.
  • Perform other duties as assigned.
