Responsibilities
  • Assemble, copy, fax, scan, and distribute a variety of materials.
  • Maintain office logs, files, staff directories, calendars, and complex schedules.
  • Greet visitors, answer the main office phone, and take messages.
  • Prepare, write, format, and edit correspondence, letters, memos, spreadsheets, presentations, charts, notebooks, invitations, agendas, and support documents.
  • Search electronic and hardcopy files and databases for records, supporting data, and historical documents.
  • Draft correspondence and prepare documents in response to requests.
  • Respond to first-line inquiries from public, internal, and external constituencies.
  • Submit and follow up on service requests, including telephone, key, and help desk requests.
  • Receive and process incoming mail and prepare requests for FedEx, UPS, priority mail, and courier services.
  • Create, update, and maintain entries in the Digital Asset Management System for museum assets.
  • Organize and support workshops, meetings, conferences, and guest-speaker events.
  • Reserve meeting space and coordinate logistical and administrative arrangements for speakers and attendees.
  • Provide administrative support during meetings, arrange audiovisual displays, take meeting minutes, and follow up with summary minutes or reports.
  • Schedule board and committee meetings with Board Chairs and Committee Chairs.
  • Maintain calendars for board meetings, Chairs meetings, and committee meetings.
  • Manage board-meeting logistics, including board packets, handouts, presentations, materials, online postings, food, supplies, and board-room preparation.
  • Create and maintain an effective board document management system with updated board-related documents.
  • Maintain and coordinate meeting RSVP lists and set up board-related conference calls.
  • Respond to other board support projects as needed.
  • Research, benchmark, analyze, and aggregate data and make recommendations.
  • Track project timelines to ensure deadlines are met and goals are accomplished.
  • Prepare travel orders and authorizations using the official travel system.
  • Prepare vouchers, make travel arrangements, answer and research travel-related questions, and maintain travel files.
  • Prepare purchase requests for office supplies, equipment, and services.
  • Answer questions and investigate purchase discrepancies.
  • Enter payment information into internal and external administrative databases.
  • Track and maintain files related to purchases.
  • Perform other assigned duties.
Desired Qualifications
  • A Bachelor's degree in a museum-related field or relevant discipline is preferred.
  • At least 2 years of experience working with organizational leadership is preferred.
  • Any related professional certifications are preferred.
