Requirements
  • 4-7 years of experience in an executive support role or similar support function.
  • 2-3 years of experience managing complex scheduling, logistics, and high-level meetings with senior government, defense, and international leaders, including coordinating clearances, handling sensitive information, and navigating agency systems and protocols.
  • Proven experience working with multiple leaders in the past.
  • Worked in a high-growth startup, or similar environment.
  • Managed and optimized extremely busy calendars.
  • Exceptional attention to detail and a high bar for quality, with the ability to anticipate issues, catch small errors before they become larger problems, and ensure every deliverable, meeting, and interaction is executed to a polished standard.
  • Flawless execution skills for events and meetings of all sizes.
  • Exceptional communication skills - being able to tailor a message appropriate to a specific audience (writing an email to a Senator vs. a Customer vs. an Exec)

  • Proven ability to build processes and operational systems from the ground up, bringing structure to ambiguity and creating scalable ways of working in fast-moving, high-growth environments.

  • Based in Washington, DC and able to attend the DC office in person at least four days per week.
Responsibilities
  • Build strong connections within Global Affairs and OpenAI for Government, and forge connective tissue between the two teams to help them operate together more seamlessly. This includes an understanding of team dynamics, priorities, and stakeholders, facilitating seamless coordination on high-stakes projects.
  • Expertly manage the calendars, scheduling, and logistics of leaders in both organizations across classified and unclassified engagements—including interagency meetings, secure briefings, site visits, and high-priority external meetings—while anticipating needs, adapting quickly to shifting priorities, and ensuring leaders are well-prepared and operating efficiently.
  • Excel in sharing information clearly and efficiently, adapting communication styles for different audiences, from Cabinet-level officials to agency staff, adapting tone and style to maintain professionalism and advance OpenAI’s mission.
  • Operate with discretion and independence, proactively optimizing processes and flagging risks, while ensuring sensitive information is handled securely and in compliance with government protocols.
  • Serve as an execution lead for major OpenAI for Government and Global Affairs events, government workshops, sponsorships, training, and customer meetings, Work seamlessly with key stakeholders in OpenAI’s Washington, DC office to ensure a high quality experience for strategic on-site visits.
  • Serve as a strategic operations partner to the National Security team, helping run the team’s operating cadence across planning cycles, leadership priorities, travel rhythms, and internal communications; act as a trusted thought partner to team leadership by tracking due-outs, driving follow-through, and surfacing priorities and risks. Partner closely with the team to shape and execute events, workshops, and external engagements, while coordinating seamlessly across Product, Research, Legal, Security, and OpenAI for Government.
  • Work closely with OpenAI for Government’s chief of staff to build and scale the team’s strategic processes and operating systems, including: + Developing and maintaining an annual planning calendar; + Coordinating milestones for budget cycles, offsites, summits, major launches, recruiting pushes, and leadership visits; + Owning and maintaining team information architecture (Notion, shared drives, templates, org charts, FAQs, and distribution lists, etc.); + Keeping onboarding materials and processes current; + Tracking headcount growth needs and help forecast seating, equipment, badges, and onboarding readiness as the team expands. + Initiate teambuilding activities, such as happy hours, trainings, off-sites, and outings.
