  • Ability to communicate orally and exchange accurate information with internal and external clients.
Responsibilities
  • Demonstrate commitment to client service for external and internal clients, and respond to emails promptly and professionally during working hours.
  • Protect client confidentiality by using secure methods to share sensitive information and keeping confidential client information off the reception area.
  • Provide front desk coverage during business hours; greet and assist visitors, clients, and team members; answer and direct phone calls; and ensure appropriate follow-up on information received.
  • Receive, sort, and distribute incoming mail and deliveries.
  • Maintain a clean, orderly office environment, including conference rooms, hoteling spaces, and shared areas.
  • Coordinate workspace and supply support for staff onboarding and offboarding; manage inventory and order office, kitchen, and restroom supplies; order food for meetings and events; organize supply areas and review excess items for purging or donation.
  • Use Robin to manage workspace reservations, encourage staff to book independently, assist when appropriate, review reservations daily, and ensure shared spaces are ready for use.
  • Operate and perform basic troubleshooting for office equipment, including sending and receiving faxes; use PaperCut and keep printer and copier paper stocked.
  • Apply postage, manage certified mail, recharge the postage machine, and allocate postage costs in Star; weigh UPS packages, select cost-effective options, and log charges in Star.
  • Set up Teams and other meeting tools in conference rooms; use Asset Essentials to submit maintenance tickets and escalate urgent facility issues; and enter office and staff expenses in Chrome River as needed.
  • Assist with planning and executing office team-building events, internal celebrations, holiday parties, and firmwide events such as Impact Day.
  • Maintain accurate client records by updating Star and/or the CRM with changes and new information, and handle billing responsibilities as needed by the office.
  • Process tax returns by printing and assembling paper returns, including extensions and estimates; upload electronic returns to Safesend; batch-extend returns; store documents in GoFileRoom; and update workflows in Firmflow.
  • E-file tax returns through the firm's automated process after receiving a signed engagement letter and signed Form 8879.
  • Monitor automation processes, address issues, and manually release returns in the e-filing program when needed.
  • Use Scan and Autoflow to organize client documents for Forms 1040 and 1041, load documents for processing, and validate returns.
  • Use Firmflow to manage due dates, maintain accurate workflow information, and ensure a workflow exists for every client and return processed.
  • Maintain CCH Axcess Tax, including creating new clients, deactivating clients in CCH Client Manager, creating and updating returns, and rolling returns annually as needed.
  • Review and update Safesend tax returns, review the Firmflow pre-roll report daily, and route workflows as needed.
  • Provide extended Tax Practice support during peak periods, including evenings and weekends as required.
  • Prepare and deliver client financial statements according to client preferences, ensure timely and accurate delivery, complete the lockdown process in accordance with firm policies and timelines, and proofread statements for accuracy, formatting, and firm standards.
  • Support the Resource Manager with administrative and coordination tasks as needed.
  • Use Suralink to manage client document requests, including distributing and following up on request lists; inactivate outdated or former client records as appropriate.
  • Provide extended Assurance Practice support during peak periods, including evenings and weekends as required.
  • Travel to offsite team-related events and meetings as needed, approximately 10%.

  • Prior experience in a certified public accountant (CPA) firm is a plus.
