Requirements
  • A high school diploma is required; an associate's degree or bachelor's degree is preferred, or related experience and/or training, or an equivalent combination of education and experience.
  • Strong interpersonal and client communication skills and a passion for assisting others.
  • Exceptional multitasking abilities, organizational skills, and attention to detail.
  • Dependability, proactivity, a team-oriented approach, and a positive attitude.
  • Expertise in client service principles, including needs evaluation, quality standards, and client satisfaction.
  • Proficiency in administrative tasks such as word processing, file management, transcription, and email communication, and in computer programs for managing patient information.
  • Familiarity with common drugs, their uses, brand and generic names, side effects, and controlled substance protocols.
  • Fluent English speaking and reading skills are required.
Responsibilities
  • Maintain clear communication between doctors, clients, and clinical staff by providing daily medical and financial updates for in-hospital patients, fielding client calls and questions, and organizing patient records.
  • Organize and manage the doctor's appointment schedule, procedures, and patient treatments.
  • Provide patient status updates, financial estimates, treatment authorizations, and discharge instructions as the primary client contact.
  • Admit and discharge patients, coordinate client communications, process invoices and payments, fill prescriptions, maintain medical records, and support patient care and treatment workflows.
  • Collaborate with doctors, technicians, referring veterinarians, pharmacies, and external service providers to support patient care and client experience.
  • Review treatment plans, medications, and hospital documentation for accuracy; obtain client approvals for recommended services; and facilitate communication between clients and the medical team.
  • Manage financial updates, estimates, record requests, correspondence, body care documentation, and cremation-service coordination as needed.
  • Welcome clients and their pets, collect patient histories, and assist during examinations and diagnostics.
  • Support patient restraint, transport, and minor procedures while helping ensure comfort and safety for pets and staff.
  • Educate clients on postoperative care, medication instructions, and at-home treatment plans, and advocate for appropriate outcomes for their pets.
  • Train and support fellow Client Patient Coordinators, participate in required meetings and leadership check-ins, and contribute to efficient hospital operations and client satisfaction.
Desired Qualifications
  • Knowledge of veterinary practices, pharmacology, medical terminology, and clinic procedures.
  • Fluency in additional languages.
