About the job

Requirements
  • Have 1 to 4 years of experience coordinating interviews, ideally at a fast-growing startup with high volume and multiple concurrent requisitions.
  • Maintain an organized Ashby applicant tracking system, prepare context for interviews, and ensure tasks are completed.
  • Respond to every request within 24 hours, either scheduling it or flagging it.
  • Handle candidate details, compensation, and feedback discreetly, sharing them only with people who need them.
  • Remain calm when schedules change, triage issues, make decisions, and escalate to the founding recruiter with a plan.
  • Preferred bonus qualification: Ashby administration experience or deep experience with another applicant tracking system such as Greenhouse or Lever.
Responsibilities
  • Own scheduling across active candidate pipelines, including building panels, rescheduling, changing interviewers, and coordinating across time zones.
  • Send candidate confirmations, preparation emails, itineraries, and timely day-of updates.
  • Maintain Ashby data and processes, including current stages, up-to-date interview plans and templates, and timely interviewer feedback before debriefs.
  • Train and balance interviewer panels through shadow pairings for new interviewers, backup coverage for every interview slot, and systems that distribute workload across the team.
  • Prepare weekly reports on scheduling and pipeline health, including scheduling speed, interviewer workload, and points where candidates are delayed.
  • Create templates, playbooks, or automations to improve recurring coordination work.
  • Learn the product, mission, hiring process, teams, and roles; take over scheduling and coordination across active requisitions; and assess opportunities to streamline Ashby.
  • Remove coordination work from the founding recruiter and hiring managers, identify improvements to Ashby and candidate templates, and automate a selected manual process.
  • Run weekly reporting to identify bottlenecks, maintain coordination documentation for each active role, launch a candidate experience survey and implement a resulting change, and build and share at least one AI workflow that reduces recurring work.
Desired Qualifications
  • Ashby administration experience or deep experience with another applicant tracking system such as Greenhouse or Lever.

What believers are saying

  • Management says customer count grew from 2,500 to 8,000 in twelve months.
  • December 2025 inventory, 2026 recurring invoices, and NatGLC deepen workflow lock-in.

What critics are saying

  • QuickBooks remains the accountant-approved default, weakening Ambrook's replacement pitch.
  • Expansion into trucking, construction, and property management distracts from agriculture depth.
  • If farmers keep QuickBooks and use Ambrook as a feature, Ambrook loses.

What makes Ambrook unique

  • Its books follow farm realities: fields, crops, seasons, livestock, and Schedule F.
  • The August 2026 Series B backs expansion across independent-operator verticals.
