Requirements
  • Successful completion of a degree or certification program in a medical support field, business, or a related discipline; or at least two years of dermatology experience; or at least five years of relevant healthcare, clinical operations, or leadership experience; or demonstrated leadership experience within the organization or equivalent experience in a healthcare setting.

Responsibilities
  • Provide daily leadership, supervision, and direction to clinical and laboratory staff to maximize clinic efficiency, productivity, teamwork, and patient service in alignment with organizational goals.
  • Troubleshoot workflow, equipment, electronic health record, and operational issues; identify and resolve departmental concerns; recommend and implement process improvements and workflow efficiency initiatives; and communicate regularly with regional and office management.
  • Partner with clinic leadership to monitor and manage direct clinic expenses.
  • Maintain inventory of medical, office, and cosmeceutical supplies; monitor clinic labor costs; review overtime, extra time, critical pay, and alternate clinic coverage costs; and assist with physician scheduling to support net-neutral vacation coverage when possible.
  • Create or review clinical and reception staff schedules, manage schedule changes, prepare preliminary schedules at least three months in advance, post finalized schedules at least two pay periods in advance, and review and approve paid-time-off requests while maintaining adequate staffing.
  • Review employee timesheets for accuracy and scheduled-hours compliance, approve time records for biweekly payroll processing, and monitor payroll reports for overtime and extra-time trends.
  • Support recruitment, selection, and hiring for clinical and reception staff positions.
  • Assist with onboarding and training new employees to ensure competency and compliance with departmental policies, procedures, and expectations.
  • Oversee daily office operations and staff performance, assist with employee performance management and annual evaluations, ensure timely responses to communications, oversee prior authorization processes and tracking, train and supervise new staff, and coordinate ongoing staff education, including annual compliance training for OSHA, HIPAA, and laser safety.
  • Prepare for and participate in CLIA inspections and surveys; oversee quality assurance and quality control documentation under the direction of laboratory and regional leadership; coordinate proficiency testing; and facilitate troubleshooting with technical supervisors, manufacturers, consultants, and other resources when quality issues arise.
  • Provide staff coaching, retraining, or corrective action as necessary.
  • Complete required daily, weekly, monthly, and quarterly checklists within established deadlines.
  • Manage time across assigned clinics and departments while maintaining operational and supervisory responsibilities; provide hands-on clinical support as directed and based on staffing needs; maintain clinical workflow and patient-quality knowledge; and support operations across multiple assigned locations.
  • Receive employee call-ins, arrange coverage for open shifts, and communicate staffing needs with team leaders and regional management.
  • Provide procedure estimates at patient request and communicate anticipated costs accurately.
  • Coordinate job-shadow and observational experiences in accordance with organizational guidelines.
  • Serve as the initial point of contact for patient concerns and escalate issues to the regional clinic manager as appropriate.
  • Support practice marketing by coordinating clinic events, promotions, and patient engagement activities.
  • Serve as a role model and subject matter expert on organizational policies, procedures, equipment, and technology implementations.
  • Ensure front desk staff maintain timely collection efforts for patient accounts receivable balances.
  • Perform other duties and responsibilities as assigned.
Desired Qualifications
  • Associate's degree with an emphasis in Networking, a bachelor's degree in Information Technology or Computer Science, or relevant work experience.
  • Experience with Cisco routers and switches.
  • Experience with Microsoft Server 2008, 2012, or 2016 and Microsoft Active Directory.
  • Experience in a medical environment.
  • Two years of dermatology and/or Mohs surgery experience.
  • Previous supervisory or team leadership experience in a healthcare environment.
