Requirements
  • A high school diploma and four years of full-time experience directly related to the job functions are required.
  • Professional work experience with data entry, records management, or clerical support is required.
  • Computer experience with Microsoft Office, including Outlook, Word, Excel, and PowerPoint, is required.
  • Any appropriate combination of relevant education, experience, and/or certifications may be considered.
  • Knowledge of and proficiency with database management applications such as Raiser’s Edge is required.
  • Strong interpersonal, verbal, and written communication skills are required.
  • Strong attention to detail and a high level of data-entry accuracy are required.
  • Strong organizational skills and the ability to prioritize and complete simultaneous projects are required.
  • The ability to create, compose, and edit written materials is required.
  • The ability to interact professionally with staff, faculty, students, and the community in a service-oriented environment is required.
  • The ability to work both independently with minimal supervision and as part of a team is required.
  • The ability to plan, organize, coordinate, and perform work amid numerous and competing demands is required.
  • The ability to maintain confidentiality and discretion at all times is required.
Responsibilities
  • Receive, log, post, and receipt daily donations using Raiser’s Edge NXT donor software.
  • Maintain accurate and efficient data processes for cash, check, and online credit-card contributions.
  • Prepare timely and accurate donor acknowledgement letters and tax receipts as appropriate for each gift.
  • Maintain constituent records, gift documentation, and other vital information in accordance with record-retention guidelines.
  • Ensure compliance with monetary-handling protocols, including the cash receivables procedure.
  • Assist with tribute cards and other correspondence.
  • Assist with project mailings, manipulate data, and use mail merge.
  • Process matching gifts, complete related paperwork, and respond to requests from matching-gift organizations as needed.
  • Perform special cleanup projects within the donor database.
  • Maintain confidential donor records in accordance with University Advancement policies and procedures.
  • Communicate with internal Advancement staff and campus partners to ensure accurate and timely recording of gifts.
  • Collaborate with the Foundation Finance team as needed to reconcile gift data with Financial Edge.
  • Perform other job-related duties as assigned.
Desired Qualifications
  • A bachelor’s degree from an accredited institution in Accounting, Business, Computer Science, Information Systems, Business Administration, or a closely related field is preferred.
  • Data-entry or support experience in a nonprofit setting is preferred.
  • Experience with fundraising or financial record keeping is preferred.
  • Experience with Raiser’s Edge donor-record software is preferred.
  • The ability to think strategically and approach challenges with creativity is preferred.
  • A demonstrated track record of reliability, meeting goals, and personal accountability is preferred.
