About the job

Requirements
  • Have several years of experience running office, facilities, hospitality, or venue operations at a startup, hotel, venue, or event space, including day-to-day building operations.
  • Have a track record of running events with measurable results; recurring event series experience is especially relevant.
  • Have experience building an offline community by converting first-time guests into regular attendees and developing a core group.
  • Have experience running an online community, moving in-person attendees into it, and keeping it active.
  • Have a network of vendors for catering, deep cleaning, laundry, and fire-alarm services, or be able to identify vendors quickly.
  • Have hands-on crowd control and stage management experience at packed events such as DJ nights, club nights, or concerts.
  • Be comfortable with building systems and event safety, including alarms, access control, capacity management, bar service, and waivers.
  • Be able to manage vendors from initial quote through invoice payment without follow-up from others.
  • Be able to turn recurring operational tasks into systems, checklists, schedules, and vendor ownership.
  • Be able to respond calmly and effectively to urgent problems, including during event setup.
  • Write clear English and track budgets, receipts, and invoices carefully.
  • Live in San Francisco and be willing to work on site in the building.
Responsibilities
  • Serve as the primary point of contact with the landlord and property manager, submit maintenance requests, follow up on walkthroughs, and track tickets through completion.
  • Be present during contractor work, explain issues, test completed repairs, and confirm building systems such as garage doors and keycards function correctly.
  • Follow escalation procedures by communicating routine requests through email or the property portal and contacting the property manager by text only for emergencies.
  • Manage building vendors, including security and alarm monitoring, fire and smoke detector service, keycard and access control, internet, trash and recycling, plumbing, cleaning and janitorial, laundry, catering, and handyman services.
  • Obtain and compare vendor quotes, schedule work, provide access, verify results, and reconcile invoices.
  • Handle light office IT and access tasks, including setting up and maintaining Wi-Fi equipment, managing keycards and door access, and getting cameras and smart locks installed and operational.
  • Learn and operate building systems, including alarm silencing and resets, access readers, cameras, and the control panel, and respond to system issues outside normal hours.
  • Set the weekly schedule for cleaning, laundry, restocking, and trash removal so the office is ready each morning.
  • Manage office purchasing by confirming items, quantities, and deadlines; checking existing orders; and placing orders through online and local retailers.
  • Receive packages, follow up on missed or returned deliveries with carriers, and process returns.
  • Install mounts, audiovisual equipment, lighting, furniture, and signage, or arrange for someone else to complete the installation.
  • Run event logistics for events ranging from 30-person dinners to parties with more than 500 RSVPs, including catering, licensed bartenders, drink tickets, DJs, audiovisual needs, furniture, check-in, and cleanup.
  • Manage event safety and compliance, including haze and smoke rules in a building with an interconnected fire alarm, QR waivers, 21-and-over ID checks, security staff, restricted areas, capacity, and event insurance.
  • Manage crowd control and stage operations at high-intensity DJ events, including entry flow, capacity counts, stage and DJ booth perimeters, crowd surges, security placement, and event changeover schedules.
  • Find and book external venues when events exceed the capacity of the office; maintain a vendor list and quotes to improve planning efficiency and cost.
  • Host recurring offline community events and help convert first-time guests into regular attendees and regulars into core members.
  • Track attendance, repeat visits, and referrals; follow up with promising attendees to encourage them to return.
  • Move attendees from in-person events into online communities such as group chats, Discord or Slack, and newsletters, and keep those spaces active between events.
  • Report RSVPs, attendance rate, new members, and repeat attendees after each event.
  • Establish and enforce building policies for packages, door access, and guests, and create interim procedures for the period before cameras and alarms are operational.
  • Convert a founder’s notes and voice memos into tracked tasks with owners and due dates.
  • Handle a founder’s day-to-day errands, purchases, scheduling, logistics, and vendor calls.
  • Write vendor and landlord emails in English, conduct follow-up checks, and flag risks promptly.
  • Turn recurring problems into checklists, runbooks, vendor rosters, and trackers.
Desired Qualifications
  • Working Mandarin, as some team members and partners work in Chinese.
  • Experience as an executive assistant or chief of staff to a founder or executive.
  • Hands-on experience with audiovisual equipment, lighting, mounting, or basic installations.
  • Experience using AI tools to run operations.

About the company

Hellyeah AI helps marketing teams grow faster by using autonomous digital workers, which are AI agents that can perform marketing tasks without constant human direction. The core idea is an AI-native growth engine: teams set goals and the autonomous workers handle campaigns, experiments, content generation, optimization, and data analysis to push growth. The product works by integrating AI agents into marketing workflows to automate repetitive tasks, test ideas, and adjust strategies based on performance data. Differences from competitors come from being built around autonomy and a marketing-centric AI team of agents, rather than just AI tools or generic automation. The goal is to empower marketing teams to scale their efforts efficiently, achieve faster outcomes, and spend less time on manual, repetitive work.
