Requirements
  • Three to five years of customer service experience.
  • A high school diploma.
  • Graduation from a Medical Assistant program.
  • A Medical Assistant certification.
  • Experience with an electronic health record system, computer systems, patient scheduling, and scheduling templates.
  • Knowledge of medical terminology and hospital outpatient registration.
  • The ability to work independently, exercise sound administrative judgment, solve problems creatively, manage time effectively, and organize work.
  • Excellent listening, communication, analytical, escalation, and computer-literacy skills.
  • The ability to work 12-hour overnight shifts, holidays, and a flexible Cooper 365 24/7 schedule.
Responsibilities
  • Provide remote and, when needed, in-person Medical Assistant support, including vital-sign screening, patient questions, and ordering bloodwork scripts for clinicians.
  • Serve as liaison between clinicians and patients; assist with patient check-in and check-out and schedule appointments.
  • Maintain the electronic health record database, register patients, confirm appointments, print and upload visit documents, and ensure patients complete required paperwork.
  • Provide Cooper 365 phone support and customer service to patients, referring offices, team members, and clinicians by telephone, telehealth, or electronic communication.
  • Complete recertifications, referrals, and prior authorizations in a timely manner.
  • Process medical-record requests through MRO and process new-patient contracts and related questions.
  • Process and print incoming faxes through OnBase/fax, route them to providers for signatures or information, and upload them to the correct chart category.
  • Provide information to patients so they can fully use the clinical services.
  • Maintain knowledge of regulatory standards and sustain those standards in daily operations.
  • Handle customer complaints and patient escalations, resolve conflicts, and assist clinicians with escalated matters.
  • Develop processes to run and manage operations efficiently.
  • Obtain and verify patients’ personal, demographic, and financial information and enter it into the practice-management system.
  • Oversee document scanning, CDL physicals, and management of medication samples.
  • Ensure paperwork aligns with monthly, semiannual, and annual agreement requirements so collections remain consistent.
  • Deliver a timely and consistent experience to patients, customers, physicians, and clinicians.
  • Perform other duties as assigned.
